The Loan Servicing Support Associate II is responsible for specialized post-closing support for commercial loan documentation, imaging, exception monitoring and related servicing functions. This position is distinguished from the Loan Servicing Support Associate I, which primarily provides general documentation processing, imaging, file maintenance and administrative support. The Loan Servicing Support Associate II performs specialized monitoring, audit, validation and exception-resolution activities that require detailed research and judgment within established procedures. Key duties include UCC tracking and terminations, title and Abrigo exception audits, acquisition conversion work, image mapping and validation, and administration of commercial insurance tracking with a third-party vendor. This role works with lenders, loan support staff and vendors to resolve complex issues, maintain accurate records and reduce operational risk. Exceptional service to both internal and external customers is essential.


Responsibilities include, but are not limited to:


  • Performs Uniform Commercial Code (UCC) corporate and debtor tracking and maintains related collateral records.
  • Monitors routine UCC reports, follows up with the appropriate staff on missing items and enters exceptions for tracking.
  • Processes UCC terminations and monitors automated continuation activity in accordance with established procedures.
  • Processes and validates conversion items related to transferring or assigning another bank's UCC interests to First Mid.
  • Collaborates with loan officers and support staff to research and resolve collateral, documentation and system discrepancies.
  • Performs document exception audits using Abrigo, coordinates follow-up to clear identified exceptions, recognizes recurring issues as training opportunities, and develops and conducts appropriate staff training.
  • Completes image mapping and keyword entries to ensure documentation is assigned to the appropriate record and document type.
  • Validates converted images and researches mapping or indexing issues related to acquisitions, conversions and data cleanup projects.
  • Administers insurance tracking for commercial loans and works with the bank's third-party insurance vendor to resolve questions and exceptions.
  • Monitors commercial insurance exception reports, obtains missing or updated insurance information and uploads documentation to the third-party vendor.
  • Serves as a system administrator for the third-party insurance tracking program, assisting staff with system access, troubleshooting issues, providing guidance, and coordinating with the vendor to resolve escalated concerns.
  • Builds or updates collateral records when multiple policies require separate tracking to prevent reliance on manual tracking.
  • Reviews insurance pre-notices for accuracy and appropriateness before notices are released.
  • Assesses or waives lender-placed insurance-related fees in accordance with established procedures, documented lender direction and assigned authority.
  • Documents actions, exceptions and follow-up items in the appropriate system to maintain complete records of force placed insurance for future research and review.
  • Maintains up to date processes and procedure documentation utilized for daily tasks.
  • Cross trains with other Loan Servicing Support Associate II employees and provides backup coverage for shared collateral, imaging, exception and insurance responsibilities.
  • Provides guidance and support to Loan Servicing Support Associate I staff by assisting with escalated items and delivering training to strengthen knowledge, performance, and consistency.


General:


  • Complete required training specific to job responsibility.
  • Performs Peer training for daily tasks and escalated items.
  • Works scheduled hours as designated as a member of the Loan Servicing Staff.
  • Performs additional duties as assigned.


Qualifications


  • High School Diploma or equivalent.
  • 5+ years of clerical or banking experience preferred.
  • Insurance experience pertaining to Commercial and Consumer customers is preferred but not required.


Skills:


  • Proficient in Microsoft Office Suite with advanced knowledge of Excel
  • Intermediate understanding of loan processes and the bank's core operating system.
  • Ability to handle detailed information accurately, promptly and confidentially.
  • Capable of managing a substantial workload of varying tasks.
  • Demonstrates the ability to effectively train and coach staff in a positive, professional, and constructive manner.
  • Strong interpersonal skills with the ability to interact professionally with the team and customers.
  • Excellent customer service skills.
  • Possess the ability and drive to work independently and with a team in person and remotely.
  • Knowledge of internal policies, procedures and state and federal regulations to ensure compliance.
  • Flexibility to work on a rotating Saturday schedule and adjust work hours as needed, including earlier or later than standard hours.
