The Sample Coordinator is responsible for managing the end-to-end coordination of production samples within a print and mail environment. This includes collecting both internal and external samples, conducting thorough quality reviews to ensure all pieces meet established standards, and supporting overall quality control processes. The role requires maintaining accurate and up-to-date information in the PACE system, organizing and preserving job bag samples for reference and compliance purposes, and preparing samples for shipment to clients, vendors, or internal stakeholders. Through these activities, the Sample Coordinator helps ensure production accuracy, consistency, and adherence to quality expectations.

Job Duties

  • Collect production samples from manufacturing lines, vendors, and internal teams.
  • Conduct visual and physical inspections to verify print quality, color accuracy, alignment, personalization, and mailing compliance.
  • Identify defects, inconsistencies, and quality concerns, communicating findings for corrective action.
  • Maintain accurate sample records, approvals, job numbers, and quality documentation within the PACE system.
  • Organize, archive, and manage job bag samples for compliance, audit readiness, and customer reference.
  • Prepare, package, label, and coordinate shipment of samples to clients, vendors, and internal stakeholders.
  • Support audits, client reviews, continuous improvement initiatives, and overall quality assurance programs.


Education Requirements

  • High school diploma or GED required.
  • Associate degree, bachelor's degree, or related coursework preferred.
  • Proficiency in Microsoft Office 365 (Excel, Word, Outlook) required.
  • Experience with Adobe Acrobat Pro and PACE software preferred.
  • Strong written and verbal communication skills with the ability to follow detailed instructions.



Experience Requirements

  • Minimum of 4 years of experience in quality assurance, print production, manufacturing, or a related quality-focused role.
  • Experience performing quality inspections and maintaining documentation in a fast-paced production environment.
  • Knowledge of print quality standards, color consistency, mailing processes, and complex kitting operations.
  • Experience using quality measurement tools such as densitometers, spectrophotometers, and paper calipers.
  • Strong organizational, multitasking, problem-solving, and communication skills.



Physical Capabilities

  • Ability to stand, walk, and move throughout the production floor for approximately 50% of the workday.
  • Ability to lift and move up to 40 pounds.
  • Ability to work extended hours as business needs require.
  • Comfortable working in a deadline-driven manufacturing, printing, and distribution environment.
