DESCRIPTION

Join us in an opportunity to help shape the administrative operations and visitor experience for UC San Diego's Triton Administrative Services Building. Reporting to the Associate Chancellor/Chief of Staff, the Triton Center Administrative Operations and Executive Coordinator serves in a highly visible role providing executive support while leading administrative operations for the Triton Administrative Services Building.

This position combines executive-level administrative support, operational leadership, project coordination, and stakeholder engagement to ensure the efficient operation of a multi-tenant administrative building. The incumbent partners with executive leadership, campus departments, and service providers to coordinate building operations, manage executive visitor activities, improve administrative processes, and lead initiatives that enhance the overall experience for building occupants and guests.

The ideal candidate is an experienced executive support professional who thrives in a fast-paced environment, exercises exceptional judgment and discretion, enjoys building relationships across organizations, and is passionate about delivering outstanding service while supporting strategic initiatives.

QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.

  • Advanced knowledge of the organization's processes, protocols and procedures. Knowledge of UC San Diego organizational structure, campus programs, administrative resources, and organizational relationships to effectively coordinate building operations, services, and initiatives across executive offices, tenant departments, and campus service providers preferred.

  • Advanced service orientation. Demonstrated ability to develop, implement, evaluate, and continuously improve service delivery models, including centralized visitor services and administrative support functions, in a high-profile executive or administrative environment.

  • Experience coordinating executive visitors, meetings, special events, and cross-functional activities involving multiple leadership offices and stakeholder groups.

  • Small to mid-level project management skills. Demonstrated ability to develop project plans, timelines, communications and implementation strategies; coordinate stakeholders across organizational units; monitor deliverables; identify risks and barriers; and support successful implementation of administrative and operational initiatives.

  • Ability to multi-task with demanding timeframes. Demonstrated ability to independently coordinate multiple priorities, projects, executive needs, building operations, and stakeholder requirements in a complex and highly visible environment.

  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies. Ability to navigate and coordinate effectively among senior leadership, executive offices, multiple organizational units, and internal and external stakeholders.

  • Advising and counseling skills. Ability to provide guidance, work direction, training, and mentoring to student employees and others supporting reception, visitor services, and shared building operations.

  • Strong skills to communicate and influence effectively with all levels of staff, faculty, alumni / donors, students and external constituents, both verbally and in writing.

  • Strong analytical / problem-solving skills. Demonstrated ability to anticipate organizational and operational needs, exercise sound independent judgment, evaluate complex issues, and develop and implement effective solutions and process improvements.

  • Knowledge of federal regulations such as FERPA.

  • Intermediate to advanced knowledge of common organization-specific computer applications.

  • Ability to use a high level of discretion and maintain all confidentiality. Demonstrated ability to exercise diplomacy and sound judgment when handling sensitive executive matters, confidential information, and interactions with senior leaders, donors, community partners, dignitaries, and other high-profile visitors.

SPECIAL CONDITIONS
  • Work location will be on campus fulltime, no hybrid schedule.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $81,600 - $147,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $39.08 - $70.79

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
