Position Overview

Position Summary:
Under general direction, performs general procurement activities to include, but not limited to: quotations from vendors and supplies, preparation of requisitions, bid specifications, and related documents, follows up on outstanding issues, and provides superior customer assistance to all internal and external customers.



Requirements

Duties and Responsibilities:

  • Assists in the Identification of sources to purchase services, supplies, and equipment, ensuring that the most effective and economical services are being provided
  • Prepares, edits, processes, and reconciles appropriate paperwork to include requisitions, purchase orders, change orders, invoices, bids, and other documents as directed
  • Maintain records pertaining to items purchased, costs, delivery, and product performance, and inventories
  • Ensures compliance with State Purchasing Act, University Policies, and acceptable trade practices in all transactions
  • Evaluate the cost, quality, and suitability of supplies, materials, and equipment
  • Serves as a resource in assisting departments in obtaining proper specifications, quotations, delivery times, and costs
  • Identifies and resolves potential purchasing problems within their scope of work and follows up to ensure timely and accurate resolution
  • Supervises student employees
  • Regular and predictable attendance required
  • Performs other duties as assigned
Minimum Job Requirements:

High school diploma or GED, and at least 3 years of experience that is directly related to the duties and responsibilities specified

Knowledge, Skills, and Abilities:

  • Working knowledge of procurement practices and procedures
  • Skill in the use of standard office equipment including a calculator, computer, and typewriter
  • Ability to communicate effectively, both orally and in writing, with a wide range of individuals and constituencies in a diverse community
  • Ability to understand and follow established procedures and regulations
  • Ability to analyze situations from a financial point of view
  • Ability to gather and analyze data necessary for informed purchasing and central copier decisions
  • Proficient in Microsoft Office programs (i.e., Excel, Access, and Word)

Working Conditions

Physical Demand and Working Conditions:

  • Work is sedentary in nature that at times requires exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
