About the Role

In this vital position, you will serve as the cornerstone of administrative support within an outpatient clinical setting. Your daily contributions will ensure smooth operations, allowing medical professionals to focus on patient care. You will be the welcoming face and efficient organizer, making a tangible difference in the lives of patients and the effectiveness of our healthcare services.

Key Responsibilities



  • Serve as the primary point of contact for patients, expertly managing front desk operations, including efficient check-in and check-out processes.
  • Warmly greet and assist patients, addressing inquiries regarding appointments, payments, and scheduling with clarity and empathy.
  • Efficiently manage a multi-line phone system, skillfully screening and routing calls, and taking accurate messages for clinical staff and physicians.
  • Ensure all necessary verifications and authorizations are meticulously completed prior to patient appointments.
  • Collaborate closely with providers to align on scheduling preferences and respond effectively to urgent patient needs.
  • Provide essential support, utilizing reference documents and tools to assist with patient inquiries.
  • Execute various administrative tasks, including maintaining information and paging directory databases, and processing internal forms.
  • Master the functionality of the telephone system and electronic medical records systems to perform daily tasks with precision.
  • Consistently meet and exceed organizational and department service standards, upholding our commitment to excellence.
  • Address non-clinical patient inquiries and messages, escalating complex issues as appropriate to ensure timely resolution.
  • Manage and distribute faxes, mail, and clinical documentation efficiently.


Must-Have Qualifications



  • High School Diploma or GED.
  • Proficiency in medical terminology.
  • Demonstrated knowledge of computer systems and software relevant to administrative functions.
  • Excellent verbal and written communication skills, appropriate for a professional healthcare environment.
  • Proven ability to deliver exceptional customer service, solve problems efficiently, and manage multiple priorities in a fast-paced setting.
  • Strong understanding of Windows-based office software, computers, and operating systems.
  • Adept at adjusting communication style to suit the needs and understanding level of diverse individuals.
  • Ability to maintain composure and effectiveness in stressful situations.


Important Engagement Details



  • Be authorized to work in the United States
  • Not require sponsorship of any kind for the duration of the assignment
  • Be able to work on a W-2 basis. C2C or 1099 is not permitted for this position
