Position Summary:
The Department Administrator provides high-level operational and strategic support to the Department of Accounting and Information Systems at the Villanova School of Business (VSB). Serving as the primary point of contact, this individual represents the department with professionalism and builds strong, collaborative relationships with faculty, students, alumni, employers, and university partners.
This role plays a critical part in planning, coordinating, and executing a wide range of programs and events, including student initiatives, , advisory board meetings, academic conferences, alumni engagement activities The Administrator supports faculty recruitment and onboarding efforts, manages departmental budgets and procurement processes, and leads the development of key communications and publications, including the annual department newsletter. In addition, this position contributes to AACSB reaccreditation efforts and supports broader departmental strategic initiatives. With a high degree of independence, the Administrator takes an innovative, solutions-oriented approach to identifying opportunities for process improvement, enhancing efficiency, an strengthening the overall effectiveness of department operations while ensuring alignment with VSB standards and priorities.
Duties and Responsibilities:
Event and Program Management: Coordinate and execute a wide range of department events and programs that support student engagement, faculty collaboration, and external partnerships. Plan and assist department and advisory board meetings, department meetings, student events, academic conferences and workshops Coordinate event logistics, including room reservations, catering, program materials, travel and lodging arrangements, budget management, promotion, printing/signage, and other support. Work with the Chair and department faculty to help design and implement programs and events that support various student, alumni, and employer initiatives taking place in the department. Create and maintain the department calendar of meetings and events.
Strategic Support: Support strategic priorities of the department through planning initiatives, accreditation efforts, faculty coordination, and budget management. Provide support to the Department of Accounting and Information Systems in pursuit of its strategic plans. Assist the Chair in coordinating departmental processes in support of AACSB reaccreditation efforts. Partner with and provide support to the Assistant Dean of Accreditation and Strategic Initiatives regarding ongoing accreditation initiatives related to the department. Coordinate critical activities related to faculty recruitment and hiring, including the onboarding of new faculty members. Work with the Chair to manage the departments budgets and expense activity to be in line with the departments strategic initiatives.
Department Operations: Provide comprehensive administrative and operational support to ensure the efficient daily functioning of the department. Receive and host visitors, manage email correspondence and telephone inquiries, and process information requests on a daily basis. Coordinate and manage office files electronic and physical related to the general operations of the department. Manage the departments inventory of office supplies, gifts, and branded materials. Assist the Chair in maintaining calendar and appointments, scheduling meetings, preparing meeting agendas and required reports. Make travel arrangements for the Chair upon request. Act as a liaison between the department and other University departments. As a member of the VSB administrative staff, work with colleagues to share best practices and collaborate on projects, training, and event management.
Department Communications: Develop and manage departmental communications and publications to engage key stakeholders and ensure brand consistency. In collaboration with VSB Mar Com and UCM, develop and manage departmental communications and publications to key stakeholders, ensuring all materials align with VSB brand standards. Lead the development and production of the annual department newsletter, including content creation, photo curation, and coordination with external vendors for editing and design.
Student Workforce and Data Support: Maintain critical data and oversee student employee contributions to department operations. Recruit, train, and supervise student workers. Identify tasks and projects to be completed by the student workers that will advance the departments strategic initiatives and increase productivity. Maintain a complete database of faculty and course information, including contact information, syllabi, and teaching schedules. Assist with graduation-related tasks, including the senior survey and the certification of minors and concentrations. Conduct ad hoc research relevant to department needs. Minimum Qualifications:
Formal Education Bachelors degree required. Experience in lieu of bachelors degree to be considered.
Minimum Work Experience 2+ years of relevant and applicable work experience in a professional environment.
Special Job Knowledge Excellent interpersonal and communication skills, with a proven ability to build relationships and provide responsive, high-quality service to a range of stakeholders. Knowledge of and experience supporting departmental strategic initiatives and core administrative operations, preferably in an academic setting. Proficiency in Microsoft Office (Outlook, Power Point, Word, Excel) and Microsoft 365 Tools (Teams, Share Point). Strong technology skills, with the ability to quickly learn and effectively use job-related systems (e.g., administrative, financial, and HR platforms). Excellent written and verbal communication skills, with strong attention to detail. Professional demeanor and strong interpersonal skills, with a commitment to delivering high-quality customer service. Ability to manage multiple priorities in a fast-paced environment, including handling varied deadlines and frequent interruptions. Demonstrated ability to maintain confidentiality while understanding broader operational context and priorities. Strong organizational and problem-solving skills, with the ability to work both independently and collaboratively. Preferred Qualifications:
Previous experience in an academic setting. Experience with platforms to support communications and outreach, such as Canva and LinkedIn, is preferred.

Salary Posting Information:
This position falls within salaried grade 13 and the range is $51,000-63,800. The final salary will be determined with consideration of several factors including the selected candidates qualifications, department budget availability, market data, and internal equity.
