Overview We are seeking a highly organized and proactive Administrative Assistant to support our Safety Department and assist with day-to-day administrative tasks for project management on a heavy civil construction project. This role is critical to keeping safety documentation, compliance tracking, and project operations running smoothly. Key Responsibilities

Safety Department Support

  • Maintain and organize safety records, logs, and compliance documentation
  • Assist with onboarding paperwork, orientations, and safety training tracking
  • Support incident reporting and documentation processes
  • Track certifications, licenses, and required safety training for field employees
  • Coordinate and schedule safety meetings, toolbox talks, and audits
  • Assist with data entry into safety systems and reporting tools

Project Management Support

  • Provide administrative support to project managers and field leadership
  • Assist with document control (submittals, RFIs, reports, etc.)
  • Prepare meeting agendas, take notes, and distribute summaries
  • Support onboarding of new hires (badging, paperwork, coordination)
  • Maintain organized filing systems (digital and physical)
  • Assist with general office coordination and communication between field and office
Qualifications
  • 1-3 years of administrative experience (construction or safety experience preferred)
  • Strong organizational skills with attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to handle multiple priorities in a fast-paced environment
  • Strong communication and teamwork skills
  • Ability to maintain confidentiality with sensitive information
Preferred Experience
  • Experience in heavy civil construction or field operations
  • Familiarity with safety programs (OSHA, incident tracking, compliance logs)
  • Experience with document control systems or project management software
