Position Title:Clinic Operations Manager - Adult Neurosurgery Clinic Department:Neurosurgery Clinic Job Description:

At the Adult OU Neurosurgery Clinic, we are committed to delivering exceptional, patient-centered care while expanding access to neurosurgical services. Our growing multidisciplinary team includes 19 physicians and 7 advanced practice providers who collaborate to provide innovative, compassionate care for patients with complex neurosurgical conditions. The Manager of Clinic Operations manages the day-to-day administrative, operational, and financial functions of one or more outpatient clinic offices. Provides leadership to clinic office staff while ensuring efficient operations, high-quality patient experience, and compliance with organizational, regulatory, and financial requirements.

  • Oversees clinic office operations including scheduling, registration, billing readiness, medical records workflows, and front-end patient flow.

  • Manages and develops clinic office staff; responsible for hiring, training, performance management, and staff engagement.

  • Ensures compliance with organizational policies, regulatory requirements, and revenue cycle standards.

  • Partners with clinical leadership, physicians, and operational stakeholders to support clinic performance and patient access.

  • Analyzes operational metrics (e.g., access, staffing, productivity, patient satisfaction) and implements process improvements.

  • Supports budget accountability, expense management, and optimization of clinic resources.

  • Leads change initiatives and operational improvements aligned with enterprise strategy.

  • Typically responsible for one or more clinic locations or specialty practices.

Minimum Requirements:

Education:Bachelor's degree in Accounting, Business Administration, Health Care Administration, or related field required.

Certification/License/Registration:None required.

Experience:At least 3 years of progressive leadership experience in ambulatory or clinic operations required.

Knowledge, Skills & Abilities

  • Working knowledge of healthcare operations, clinic workflows, and applicable policies, including Medicaid, Medicare, and relevant federal and state regulations, with accountability for daytoday compliance and risk escalation.

  • Ability to plan, organize, and oversee clinic operations, staffing, and schedules to ensure coverage, productivity, and alignment with organizational goals.

  • Strong peoplemanagement skills, including leading, training, mentoring, and evaluating staff; conducting performance reviews; and addressing performance issues in collaboration with leadership and HR.

  • Effective verbal and written communication skills to clearly convey expectations, provide feedback, and collaborate with staff, providers, and leadership.

  • Analytical and problemsolving skills to identify operational or patientcare improvement opportunities, assess root causes, and implement process improvements at the clinic level.

  • Proficiency in Microsoft Office tools (Word, Excel, Outlook) to support scheduling, reporting, data tracking, and communication.

  • Ability to manage teams across one or multiple clinic locations, ensuring consistent service delivery, workflows, and performance expectations.

  • Ability to balance competing priorities, resolve routine operational challenges, and recommend practical, compliant solutions that support quality patient care.
