Position Summary:
We have an exciting opportunity to join our team as a Specialist, Occupational Health Services - Mineola.
In this role, the successful candidate is responsible for coordinating the operations, processes to include workflow of the Occupational Health Services (OHS) department. Works with Director, Occupational Health team, and collaborating teams to proactively develops and improves programs and coordinates activities to supports programs and projects. Ensures a steady workflows and uninterrupted service to our patients and collaborating teams.
Job Responsibilities:
- Performs other related duties as needed.
- Oversees and coordinates day to day operations of the office. Assists and provides supports to the Department Director and team members with special projects and ad hoc projects.
- Supports the Director in coordinating the business operations of the office.
- Serves as the point of contact for OHS vendor contracts and ensure compliance with contracts deadlines and renewals.
- Assists with budget planning for the department under the Director. Monitors supply inventory, prepares expense reimbursement requests, invoices and purchase requisitions as assigned by Director.
- Serves as a project coordinator, provides support and works with Director to establish objectives; determining priorities; managing time; getting cooperation of others;
- Coordinates staff meetings for administrative and clinical staff, records and distributes meeting minutes to staff.
- Liaise with clerical and clinical staff identify potential office dysfunctions and workflow issues.
- Serves as liaison between hospital staff and OHS and refers to the Director as appropriate.
- Coordinates logistics for internal and external meetings and conferences.
Additional Position Specific Responsibilities:
- Responsible for check ins, phone triage, appointment scheduling, and managing daily flow.
- Reviewing medical records.
- Supporting the Director in scheduling, conducting, and writing meeting minutes.
- Data entry and documentation.
- Playing a key role in all staff onboarding including residents and faculty.
Minimum Qualifications:
To qualify you must have a Bachelor's degree in Healthcare Administration, Communication, Business Administration, or related field, required. Minimum of 3-5 years' experience in a hospital office assistant role or related experience required. Excellent organizational and time-management skills. In-depth knowledge of occupational healthcare regulations and medical terminology. Outstanding written and verbal communication skills. Problem-solver with good time-management abilities. Proven experience with administrative and accounting processes is a bonus.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,300.00 - $77,411.89 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
