East Carolina University is a public doctoral/research university in Greenville, North Carolina, with an enrollment of nearly 27,000 students. It is the third largest university in North Carolina.
ECU offers 84 bachelor's degree programs, 68 master's degree programs, 13 research doctoral degrees, 6 professional doctoral degrees, the Brody School of Medicine and School of Dental Medicine.
The School of Music, in the College of Fine Arts and Communication, has an enrollment of over 200 music majors and minors with over 50 faculty and staff. The school is fully accredited by the National Association of Schools of Music. |
| Job Duties |
Administrative Assistant for the Director of the School of Music (45%)
- Use and integrate a variety of software (e.g. Word, Excel, Teams, Sharepoint, PeopleAdmin, Emburse, etc.) and learn new computer applications as needed to support the Director, daily business operations of the School, and address unique work needs and situations.
- Serve as a resource to faculty, students, and community members on a variety of subjects including policies, and procedures.
- Resolve or develop recommendations to the Director for issues as they arise in the School.
- Maintain the Director's calendar.
- Maintain excellent communication with College office, and units across campus to support the work of the Director and School.
- Monitor weekly, monthly, and annual reports from Advancement to maintain internal documentation regarding donors and Friends of the School.
- Prepare thank you and gift acknowledgement letters on a regular basis for the Director.
- Assist the Director in mailing databases and coordinating mailings for the School of Music.
- Provide recommendations for maintaining communication and connections with donors and friends of the School.
- Attend regular staff meetings within the School and College.
- Prepare agendas for various meetings, as well as monitor, attend, record, and prepare minutes for such meetings.
- Independently compose letters, memos and reports requiring research and presents data accurately to support findings.
- Support onboarding of new staff and faculty in coordination with the Director
- Organize and maintain paper and electronic files for the school, including internal personnel files, grant files, and files pertaining to national organizations.
- Maintain the unit's faculty/staff computer database, liaising with ITCS and faculty when machines are due for refresh.
- Data entry for SoM course offerings in INB for Fall, Spring, and Summer sessions; updating schedules as needed based on feedback from faculty, academic advisor and the Director; communicate with the Office of the Registrar to ensure course offerings are accurate.
Business Management (35%)
- Process interdepartmental transfers and budget transfers in accordance with university policies and procedures.
- Coordinate and manage travel arrangements and reimbursements for faculty, staff, and guest artists using university systems (e.g., Emburse).
- Serve as a ProCard holder, including making purchases and completing timely and accurate reconciliation of transactions.
- Process purchasing transactions through systems such as PORT and Ustore, ensuring compliance with institutional guidelines.
- Assist with scholarship processing, tracking, and related administrative support.
- Maintain accurate financial records and documentation related to business transactions.
- Serve as a resource to faculty and staff regarding financial processes, procedures, and university systems.
- Ensure timely and accurate completion of financial transactions in compliance with ECU policies and audit requirements.
- Utilize university systems such as Banner, PORT, and Emburse to support financial and business operations.
- Monitor and assist with tracking unit budgets and expenditures to support informed decision-making by the Director.
Event Coordination and Support (5%)
- Make purchases (ProCard/Emburse/PORT/Ustore) and provide logistical support for events, such as, the Friends of the School of Music Gala.
- Communicate and interface with a variety of individuals involved in various outside aspects of the School, including but not limited to: donors/patrons, Friends boards, guest artists, catering affiliates, vendors, etc.
Customer Service (5%)
- Respond to inquiries about the School via phone, email, and walk-in with information and knowledge specific to programs within the School.
- Make recommendations for event planning and budgeting to the Director.
- Provide excellent customer service to School visitors, including addressing facilities issues.
- Back up for submitting work orders through the University system based on feedback from faculty, staff, and students; ensure the completion of work orders and follow up with appropriate facilities staff as necessary.
POSO Liaison for the School of Music (5%)
- Communicate and coordinate with POSO for recruiting and hiring of faculty and staff in the school, reappointments, promotion and tenure procedures, merit increases, termination forms, and associated processes.
- Maintain regular communication with the SoM committees, candidates of choice for positions, the College's administrative team, and POSO to ensure smooth hiring processes.
- Coordinate student employee (Work Study and Self Help) hiring in consultation with POSO, faculty and the Director; on-board student employees.
- Serve as a faculty resource for personnel actions.
Serve as Piratetime Super Admin (5%)
- Serve as Super Admin for PIRATEtime in the School of Music.
- Ensure student employee compliance with PIRATEtime time keeping and signs off on timecards.

PORT, and Banner, and Sharepoint and Microsoft Teams preferred. |
