? $80,000 - $100,000 + Bonus (historically $8K-$10K)

? Full-Time | Monday-Friday, 7:30 AM - 4:00 PM

About the Role

We are seeking a reliable and proactive Office Manager to oversee day-to-day administrative operations for our South San Francisco office. This role is critical to maintaining a smooth, organized, and efficient workplace, supporting both office and field teams.

This position is open due to a planned transition, with a 10-week overlap to ensure thorough training and knowledge transfer from the current Office Manager.

Team & Reporting Structure

  • Reports directly to Marty
  • Oversees 4 office staff
  • Supports 11 field staff
  • Works closely with AR personnel and administrative team

Key Responsibilities

  • Manage daily office operations and administrative workflows
  • Oversee accounts receivable and accounts payable processes
  • Perform bank reconciliations, bookkeeping, and payroll
  • Handle prevailing wage administration (basic level)
  • Support HR functions, including employee documentation and coordination
  • Process insurance certificates
  • Supervise front office activity, including phone coverage (3 staff members)
  • Develop and implement Standard Operating Procedures (SOPs) to improve efficiency
  • Ensure accurate record-keeping and compliance with company standards

What We're Looking For

  • Prior experience in office management, accounting, or administrative leadership
  • Background in construction or a related industry strongly preferred
  • Open to candidates from other fast-paced industries (e.g., food service) with strong operational experience
  • Working knowledge of AR/AP, payroll, and bookkeeping
  • Strong communication skills with the ability to interact effectively with field teams
  • High level of trustworthiness, reliability, and accountability
  • Proactive mindset with the ability to identify gaps and implement improvements
  • Comfortable working fully onsite
