Accounts Receivable Specialist

Performs clerical work in support of the organization's Accounts Receivable (AR) functions. Responsible for receiving and distributing invoices while verifying accuracy and compliance with organizational policies. Maintains detailed records and ensures consistency, completeness, and accuracy of all documentation.

Key Responsibilities



  • Compiles amounts owed to the company and inputs within the system of record. Verifies, generates, and distributes invoices match purchase orders, and comply with organizational
  • Handles invoice discrepancies by directing communication between internal and external teams. Reconciles amounts due by comparing invoices to purchase orders or other records.
  • Ensures timely payments of amounts due.
  • Keeps detailed records of all incoming including ensuring that all credit memos for returned and/or damaged items are issued and properly documented.
  • Responds to inquiries from internal or external customers or clients.
  • Verifies account balances on monthly statements and assists in invoice processing.
  • Posts daily cash receipts and performs monthly reconciliations.
  • Supports basic financial reporting and provides documentation for audits


Minimum Qualifications (Educations & Experience)



  • High school diploma, GED, or equivalent
  • 1+ year of relevant experience or the knowledge, skills, and abilities to succeed in the role

Essential Knowledge, Skills, and Abilities



  • Familiarity with accounting office practices and procedures, including office administration, accounting, and/or bookkeeping best practices
  • Knowledge of accounting principles, financial regulations, and reporting standards
  • Good communication and interpersonal skills
  • Detail oriented with the ability to operate with a high level of accuracy and precision
  • Good critical-thinking and problem-solving skills
  • Solid time-management and organizational skills with the ability to effectively handle multiple priorities simultaneously
  • Proficient in Microsoft Suits and Accounting software (i.e., QuickBooks, M-Tech, SAP, etc.)


Preferred Knowledge, Skills, and Abilities



  • Associate's or bachelor's degree in relevant field


Physical Demands



  • While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, keyboard, and occasionally lift up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus.


Working Conditions



  • Work is performed in a climate-controlled office environment.
  • The noise level of the environment is usually moderate.
  • Occasional travel may be required.
