POSITION TITLE: Business Administrator Assistant

DEPARTMENT: Business

STATUS: Regular Full Time/Non-Exempt

SUPERVISOR: Corps Officer

COMPENSATION: $25-27/hr. Based on Experience

SCOPE OF POSITION:



  • Provide Assist administrative support to the Corps Officers, the department head, and provide support to department to help ensure that the needs of the department are served.
  • Assist the food pantry, if needed
  • Maintain and distribute Regular Family Services office assistance, including Utility, Rental, and other assistance to clients based on funding.


ESSENTIAL DUTIES AND RESPONSIBILITIES :



  • Business Operations

    • Assist with paperwork for Corps personnel and serve as a backup contact for human resources needs when the Commanding Officer is unavailable.
    • Complete, submit, and maintain all human resources paperwork when needed, including following directives related to confidentiality and file
    • Submit Payroll hours weekly and approve payroll reports per Payroll and NW Division policy and direction; maintain high
    • Assist with maintaining updated contact information for the corps with all agencies.
    • Assist with and generate various reports as needed.
    • Sort, process, and record all income mail for the Commanding Officers
    • Assist with the processing and recording of church offering income.
    • Process all income checks and send them to CDS ?? if needed.
    • Maintain the office supply inventory and order replacement supplies, as necessary.
    • Process all incoming bills for corps when the Commanding Officer is not available.
    • Prepare general correspondence as requested.
    • Answer and direct phone calls, including taking messages and providing information to callers.
    • Regularly collect and sort mail both on-site and at the local P.O. Box




  • Social Services Assistance

    • Assist with representing the corps' social services programs as directed.
    • Maintain and distribute Regular Family Services office assistance, including utilities, rent, and other assistance to clients, based on funding.
    • Maintain records of all Family Services assistance through the WellSky platform recording program.
    • Attend staff meetings and trainings.
    • Perform other job-related duties assigned by supervisors.
    • Assist the Commanding Officers with office and workplace cleaning when other staff are on vacation.




ADDITIONAL HOLIDAY DUTIES :
* Assist with holiday client intake.
* Assist with preparing holiday application packet.
* Assist the Commanding Officer CO with writing letters to community.
* Responsibility of contacting store managers to set up the annual kettles for the seasonal fundraising.
* Assist with hiring and training Bell Ringers, as directed and per Salvation Army hiring policies.
* Assist with processing Christmas income, including picking up and counting monies donated to the kettles program.
* Assist with compiling information and filling out all Christmas reports for Officers, Divisional and Territorial headquarters, DHQ, THQ, and outside agencies.
* Provide other Christmas assistance as needed.



    EDUCATION AND WORK EXPERIENCE:

    * High School Diploma or equivalent; an associate degree or bachelor's degree in business or accounting is desirable.
    * Previous office and administrative experience
    * Previous Salvation Army experience preferred.

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    * Detail-oriented and attention to detail.
    * Self-starter
    * Strong use of the English language in verbal and written communication (Spelling 90%, Grammar 85%)
    * Excellent telephone, email, and messaging skills
    * Ability to work in a fast-paced environment and maintain poise under pressure.
    * Ability to work with a diverse group of people.
    * Basic knowledge of business protocols
    * Ability and willingness to keep information confidential.
    * Ability to relate positively to people from diverse backgrounds.
    * CPR and & First Aid certification are preferred.
    * Must have a valid Washington State Driver's License and ability to pass TSA guidelines, including the ability to pass a TSA background check and to be at least 21 years of age.

    SOFTWARE-RELATED SKILLS :

    * Microsoft Office suite, especially Outlook, Word, and Excel, required.

        PHYSICAL REQUIREMENT :



        • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis

        Health Insurance: Low bi-weekly premiums for employee-only coverage, Kaiser HMO for those residing in a Kaiser service area, Anthem EPO/PPO is available for those residing outside a Kaiser service area. Voluntary +1 and +family coverage at additional cost. Delta Dental DHMO and DPPO dental insurance are offered.

        Life and Voluntary Options: An employer-paid life insurance policy covers employees. Voluntary supplemental life, short-term and long-term disability plans are available.

        Retirement Plans: Employer-funded Money Purchase Pension Plan (Defined Contribution Plan) 50% vested at five years eligible service time. Plus, an employee-funded voluntary 403(b) option.

        Parental Leave: The benefit is 40 hours of Paid Leave for qualifying events.

        Sick Leave: 12 days of Sick Leave annually, accruing from day one, eligible for use after three months' service time.

        Paid Vacation:

        Two weeks annually, accruing from day one, for non-exempt positions.
        Four weeks annually, accruing from day one, for exempt positions.
        Accrued vacation is eligible for use after six months' service time.
        Paid Holidays: 13 designated holidays + 1 floating holiday per yearA generous benefits package is included with full-time positions: paid holidays, vacation time, sick time, and medical, vision, and dental insurance.
