Overview

The Central Finance Team (CFT) partners closely with finance teams and senior leaders across Microsoft. CFT leads company-wide planning, analysis, forecasting, and budgetingefforts, andincludesTreasury, Finance Data & Experiences, and Investor Relations (IR)functions.

As the Executive Business Administrator supporting the CVP of CFT and the VP of IR, you will own calendar and meetingmanagement, andimplement solutions that improve leader and team effectiveness. You will partner with business managers, executive staff, and key stakeholders to run a strong rhythm of business (ROB), coordinateeventsandlogistics, manage space and resources, and provide seamless support in a fast-paced, high-impact environment.

Responsibilities

Calendar and Meeting Management

  • Provide strategic calendar management and time-planning support whilemaintainingstrict confidentiality and integrity.
  • Own end-to-end meeting planning andlogistics, including preparation, materials, and follow-ups, based on leader and business needs.
  • Use strong judgment and business context to prioritize requests, coordinate delegates, and keep leaders and executive staff aligned.
  • Operate effectively amid ambiguity, making sound decisions with incomplete information and shifting priorities.

Cross-Functional Collaboration and Communication

  • Build andleveragestrong internal and external networks to accelerate leader and team outcomes.
  • Proactively drive communications across executives, central teams, and business partners to share updates, align decisions, and improve efficiency.
  • Mentor business support professionals; contribute to an inclusive team culture; and support hiring and onboarding in partnership with hiring managers and Global Talent Acquisition (GTA).

Event Coordination and Logistics

  • Lead planning andlogisticsfor events and offsites (e.g., quarterly business reviews, town halls, summits) and support related projects as needed.
  • Create workback schedules, define checkpoints, and drive actions to ensure high-quality event and project outcomes.

Resource Management

  • Manage expenses and budgets, including purchase processes, statements of work (SOWs), tracking, and policy compliance.
  • Partner with Finance to support budget planning, headcount processes, and reporting.

Rhythm of Business (ROB)

  • Implement andmaintaina consistent ROB aligned to business cadence;identifygaps andtake action to keepoperations running smoothly.
  • Partner with executive leaders to build and manage the annual ROB, including thefiscal-yearcalendar and executive meeting schedules.

Space Management and Planning

  • Manage space planning for the organization, including large-scale space requests and moves; use utilization data to inform changes.
  • Represent team needs with Workplace, Facilities, and business partners to deliver an effective workspace experience.

Travel Management

  • Coordinates travel arrangements, creates detailed itineraries, manageslogistics, and ensures compliance with travel policies.

Confidentiality and Trust

  • Handlehighly sensitiveinformation with discretion, sound judgment, and consistent adherence to privacy and confidentiality expectations.

Other

Qualifications

Required qualifications

  • 7+ years of administrative, business support, or customer service experience supporting executive/upper-level leaders, with an emphasis on complex scheduling, event/meeting coordination, travel, and administrative operations.

Preferred qualifications

  • Bachelor's degree in a relevant field (e.g., Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology) or equivalent experience.
  • Experience mentoring others or serving as a direct/indirect people leader (e.g., team lead).
  • Experience managing administrative budgets (e.g., events, morale, travel, training), including tracking and compliance.


Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
