Responsibilities and Expectations:
The Coordinator Service will be responsible for managing and coordinating a variety of service-related tasks to ensure smooth operations and excellent customer service. This role requires strong communication skills, a keen eye for detail, and the ability to handle multiple tasks at once.
* Accurately record and track service-related time entries.
* Coordinate and schedule all routine preventative maintenance for customers.
* Schedule repairs based on customer quotes, ensuring all necessary resources are in place.
* Arrange startup services for newly installed systems and equipment.
* Schedule and dispatch load bank services for customers.
* Prioritize and dispatch urgent service calls to the appropriate technicians.
* Create work orders for all service activities, ensuring accurate and timely information is recorded.
* Assist with the creation of new customer profiles in the system, ensuring all required details are captured.
* Gather and update payment information for customers as necessary.
* Generate invoices for completed work orders and ensure timely submission to customers.
* Assist with inventory management by pulling parts needed for service jobs.
* Ensure all parts used in service jobs are accurately logged and posted to work orders.
* Act as the first point of contact for incoming service calls, providing customer support and directing calls to the appropriate department.
Qualifications and Competencies:
  • Proven experience in service coordination or similar administrative role.
  • High school diploma or equivalent
  • Strong organizational skills with the ability to prioritize tasks and manage multiple schedules.
  • Excellent communication and customer service skills.
  • Basic understanding of invoicing and work order processes.
  • Proficient in Microsoft Office Suite and service management software.
  • Ability to work independently and as part of a team.
