The College of Computing was established in 1990 as the first such College at a public university and the second in the United States. Since that time, the college has grown into a world-class leader in research and education. The graduate CS program is currently ranked 6th and the undergraduate 5th nationally by U.S. News and World Report. The College consists of five Schools that provide specialized and general computing education to the entire campus. With over 16-degree programs, including its world-renowned online MS in CS, we believe the College to be the largest Computing unit in the United States and, as such, one of the largest producers of computationalist at all levels and of all demographic backgrounds. The College is a part of the Georgia Institute of Technology, a unit of the University System of Georgia and is primarily located in the heart of Atlanta, Georgia.

Job Summary

Provide specialized administrative services within a campus unit to include organizing and preparing correspondence, reports and other documentation; event management; records management, and related administrative activities. Typically provides work guidance to lower level administrative personnel with the unit. This position will interact on a consistent basis with: unit management and staff, vendors and office visitors. This position typically will advise and counsel: administrative staff . This position will supervise: N/A

Responsibilities

Job Duty 1 -
Originate and process correspondence, reports and other documentation.

Job Duty 2 -
Compile, organize and analyze data for use in reports.

Job Duty 3 -
Plan meetings and other events to include scheduling, reservations, arrangements, etc.

Job Duty 4 -
Make travel arrangements for unit staff management and staff as directed.

Job Duty 5 -
Maintain office supplies inventory.

Job Duty 6 -
Develop and maintain databases and records management systems.

Job Duty 7 -
Review and resolve routine administrative related questions and issues; provides input regarding new or revised unit administrative procedures.

Job Duty 8 -
Provide training and ongoing work guidance to administrative staff members as required.

Job Duty 9 -
Perform other duties as assigned

Responsibilities

Additional Responsibilities

  • Collaborate with the Academic Program Manager II to support recruitment, admissions, orientation, registration, advisement, special events, degree audits, and graduation for MS and PhD students in the School of Interactive Computing (SIC).
  • Prepare and send MS admission letters via mail merge.
  • Support fall orientation for incoming MS and PhD students.
  • Issue course permits and maintain student records.
  • Manage student listservs and maintain online student resources.
  • Provide logistical support for SIC events, including PhD Visit Day, PhD Review, MS Leadership Challenge Course, 'Interactivity,' and others as needed.
  • Order promotional items for MS and PhD programs.
  • Coordinate the student GTA hiring process for fall and spring semesters.
  • Maintain hiring spreadsheets and process tuition waivers for GTA/GRAs.
  • Work with GT eSignature staff to create and route hiring forms via DocuSign.
  • Maintain records of all hires and audit them weekly using internal reports.
  • Provide SSN letters and support to international students hired by SIC.
Required Qualifications

Educational Requirements
High school diploma, GED Certificate or Vocational School Diploma

Required Experience
Three to four years of job related experience

Knowledge, Skills, & Abilities

SKILLS
This job requires advanced skills in general office administration to include document processing and management, records management, event management, problem solving and office organization. Skill in use of advanced office related computer applications is required.
