POSITION SUMMARY: At First Coast Security (FCS) we believe in the power of knowledge and continuous learning. We are a Security Services company. As a Training Administrator, you will play a vital role in enhancing our employees' skills, knowledge, professional development, and contributing to the success of our organization. We are seeking a highly organized and detail-oriented Training Administrator to support our training and compliance operations in Hermiston, Oregon. The ideal candidate will play a key administrative role in coordinating training activities, maintaining certification records, supporting compliance requirements, and ensuring all training documentation is accurately processed and submitted. In this role, you will work closely with cross-functional teams, subject matter experts, department managers, and our client to ensure training sessions are properly scheduled, attended, tracked, and documented. You will assist with training logistics, manage training files, support DPSST and other regulatory paperwork, and maintain up-to-date training records for employees at all levels. PRIMARY DUTIES AND RESPONSIBILITIES
- Training Administrative Support
- Assist with scheduling and organizing training sessions, meetings, and certification courses.
- Maintain training records, rosters, attendance sheets, evaluations, and completion documentation.
- Prepare, process, and submit DPSST documentation, including certifications, license applications, renewals, and compliance filings.
- Monitor training deadlines and notify employees and management of upcoming expirations or requirements.
- Prepare training packets, forms, presentations, and administrative materials.
- Support instructors with classroom preparation, materials, sign in sheets, and record collection
- Uniform & Equipment Responsibilities.
- Serve as the point of contact for officer uniform distribution, replacement, and returns.
- Maintain accurate uniform inventory, ensuring stock is properly tracked, organized, and assist with ordering.
- Coordinate uniform fittings, size exchanges, and vendor communication as needed.
- Track uniform issue records for each employee and support uniform-related onboarding tasks.
- Maintain uniform budget logs and reporting for management.
- Office & Operational Administration
- Perform general administrative tasks such as filing, scanning, data entry, copying, and record organization.
- Manage incoming communication for the Training Division, including email, phone calls, and internal requests.
- Update and maintain digital and physical files in accordance with company and compliance standards.
- Assist employees with accessing training resources, responding to training or uniform questions, and directing individuals to appropriate contacts.
- Maintain office supplies, training materials, and organized storage areas.
- Compliance & Reporting
- Ensure all training records meet DPSST, contractual, and organizational requirements.
- Assist with audits, compliance checks, and record reviews.
- Provide regular reports on training activities, certification statuses, participation, and uniform inventory.
- Stay informed of applicable regulations and ensure administrative practices support compliance.

- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, MS Teams, and SharePoint.
- Ability to maintain confidentiality and handle sensitive personnel records.
- Familiarity with DPSST or similar compliance-driven certification processes is a plus.
Education Requirements (All)
High School Diploma or GED
