The School of Communication and Information (SC&I) on the Rutgers-New Brunswick campus houses a dynamic community of scholars who conduct engaged research and teach in the areas of communication, information science, media studies, information technology, journalism, librarianship, organizational and health communication, public relations, and other professional practice areas. Posting Summary
Rutgers, The State University of New Jersey is seeking a Manager of Academic Administration for the School of Communication and Information. Reporting to the Director of Business and Administration and working closely with both the Associate Dean for Administration and Associate Dean for Programs, the Manager for Academic Administration oversees the day-to-day operations of academic administration in the School of Communication and Information.

Among the key duties of this position are the following:

  • Assures the effective operations of academic departments and programs by managing their administrative functions and the staff who perform them.
  • Interacts daily and works closely with deans, department chairs, program directors, faculty, and staff to manage: class scheduling for all four terms of the year; hiring of academic personnel; departmental and program administrative processes and activities such as meetings, events, assignment of academic personnel to classes and committees; and tracking academic department records and information.
  • Collects, archives, and analyzes data related to academic programs and departments.

Qualifications






Minimum Education and Experience
  • Bachelor's degree and at least five years of relevant experience in academic administration supporting academic departments and programs and their faculty, including at least three years of supervision experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Knowledge of academic administration, including course scheduling, academic appointments, curriculum structures, and related activities.
  • Excellent computer skills.
  • Proficient with systems and tools currently in use in higher education, including office software and hardware, course scheduling systems, human resources systems, Tableau, Excel.
  • Ability to learn new systems quickly.
  • Strong interpersonal and communication skills that promote a willingness to work collaboratively with all levels of the organization to meet objectives.
  • Ability to interact diplomatically, confidentially, and confidently with deans, department chairs, program directors, and faculty.
  • Ability to stay organized and manage collaborative information systems and storage to enable the team to remain organized.

Preferred Qualifications

  • Master's or doctoral degree.
  • Familiarity with Rutgers systems, academic policies, and procedures.

Equipment Utilized

  • MS Office suite, including especially Word, Excel, and PPT, and Office 365 applications, including tools for collaborative work such as Outlook, MS Teams, SharePoint, OneDrive, Microsoft Forms.
  • University systems related to course scheduling, such as CourseAtlas, IMS, CSS.
  • Business systems such as Marketplace.
  • Web-conferencing programs such as Zoom.
  • Common office equipment such as copiers and fax machines.

Physical Demands and Work Environment

  • Ability to lift boxes and other items up to 25 pounds.
  • Ability to move mobile furniture such as tables on wheels or folding chairs.

Special Conditions
  • This is a fast-paced work environment that requires evening work a few times per year.
