What You Will Do:
The Firm Support Specialist I (Receptionist) supports the office and its guests by delivering exceptional front-desk service and assisting with daily office operations. This role requires strong attention to detail, consistent service quality, and the ability to maintain an organized, efficient workspace.
The essential duties and responsibilities include, but are not limited to, the items listed below. Other duties may be assigned as necessary.
Front Desk and Guest Experience
  • Serve as a central point of contact for employees and visitors, routing inquiries and requests appropriately.
  • Answer and route incoming phone calls for the Tysons office, ensuring a professional first impression.
  • Greet guests, manage visitor check-in with a polished, welcoming front desk presence.
  • Maintain an energetic, positive service oriented approach when interacting with employees and visitors.
Refreshments, Supplies, and Office Upkeep
  • Monitor, restock, and organize snacks, beverages, coffee/tea supplies, condiments, and disposables.
  • Ensure break rooms, pantry spaces, and reception areas remain clean, organized, and fully stocked.
  • Support conference room readiness, including furniture adjustments, whiteboard cleaning, and basic AV checks.
  • Lift, move, and stock supplies (including beverages, catering items, and boxes) up to 25 lbs as needed.
Mail, Packages, and Deliveries
  • Handle all incoming and outgoing mail, packages, and courier services, ensuring prompt distribution.
Facilities Coordination
  • Serve as the first point of contact for facility-related issues.
  • Submit and track work orders with building management.
  • Coordinate vendor visits for maintenance and office services.
  • Conduct daily walkthroughs to ensure cleanliness, functionality, and overall readiness.
Catering, Meetings, and Events
  • Coordinate and support catering orders for meetings, trainings, busy-season meals, and client events.
  • Manage meeting and event setup, cleanup, and room resets.
  • Assist with planning and execution of local office events.
Administrative and Operational Support
  • Support the Firm Support Services Manager with administrative tasks, documentation, and operational projects.
  • Provide administrative support through the shared team inbox, ensuring timely responses and task routing.
  • Assist IT and FTS teams with basic onsite support needs such as equipment checks, simple troubleshooting, device coordination, and escalating issues when necessary.
  • Assist with engagement letters and other standard contracts, and update related workflows through internal applications.
  • Print, bind, and prepare client-ready materials.
  • Perform scanning, printing, filing, and general administrative duties.
  • Assist with new hire onboarding, including workspace setup, badge preparation, and office tours.
  • Complete special projects as assigned.
  • Demonstrate flexibility to work earlier or later on occasion to support meetings, events, or operational needs.
Minimum Qualifications:
  • High school diploma or equivalent
  • Proficient in Microsoft Office Suite
Preferred Qualifications:
  • Associate's Degree
  • 1+ year of related administrative experience
