Your future role

Under broad supervision of the General Manager, performs managerial work to assist in the administration and coordination of all activities; This includes supporting the management team and executes administrative tasks with competent, dynamic and friendly skills. A wide-ranging and responsible role requiring strong administrative IT organisational and communication skills and a proactive 'can-do' attitude.

Executive Administrative Suupport



  • Act as the point of contact between Management and internal/external stakeholders.
  • Undertake the task of receiving calls, taking messages, and routing correspondence.
  • Handle requests and queries appropriately and with discretion.
  • Maintain professional and personal agendas, arrange meetings, coordinate appointments, and provide reminders.
  • Produce reports, presentations, meeting minutes, and briefing documents.
  • Develop and maintain an efficient documentation and filing system.
  • Support logistics organization for Executive, HR, and site seminars.
  • Maintain computer systems by updating and entering data, creating, and distributing documents.
  • Serve as a point of contact between customer Management and representatives.
  • Manage all purchase requests, purchase orders, and external vendor inquiries.



Project Management Office (PMO) Functions



  • Support implementation of PMO standards, methodologies, and governance frameworks across site initiatives.
  • Assist in project planning, including defining timelines, milestones, resource needs, and deliverables.
  • Maintain project schedules, dashboards, templates, and documentation to ensure accuracy and consistency.
  • Track progress of ongoing projects, identifying potential delays, risks, or resource constraints.
  • Prepare and coordinate project status updates, reports, and presentations for leadership reviews.
  • Monitor and maintain project risk and issue logs, ensuring mitigation plans are documented and executed.
  • Facilitate communication among crossfunctional teams, ensuring alignment and timely followup of action items.
  • Support budget monitoring, procurement activities, and financial reporting for projectrelated expenditures.
  • Assist with postproject reviews and contribute to continuous improvement of PMO processes and tools.



General Project Management



  • Participate in project preparation, execution, and maintenance activities as required.
  • Coordinate internal meetings, workshops, and reviews related to project activities.
  • Support project managers with administrative, analytical, and logistical tasks.

  • Associates degree required (Bachelor's preferred).
  • 5+ years of experience as an Executive Assistant, Senior Executive Assistant, or similar administrative role.
  • Experience supporting project management or PMO environments preferred.
  • Proficiency in MS Office with strong skills in Word, PowerPoint, Excel, and Teams.
  • Strong business communication skills in English (written and verbal).
  • Full comprehension of office management systems, procedures, and standard workflows.
  • Knowledge of Finance, HR, or project coordination is a plus.

Pay Range

$75,000 - $90,000 depending on experience and qualifications.
