Job Announcement

This position supports day-to-day facility operations across multiple CSB sites. Under the direction of the facilities coordinator, plays a key role in coordinating maintenance and repairs, supporting small renovation projects, tracking work orders, and assisting with safety and emergency preparedness activities. Position requires travel among CSB sites.

Illustrative Duties

  • Serves as a facility coordinator and ensures that maintenance issues are resolved promptly and effectively;
  • Receives, evaluates, prioritizes and prepares facility work order requests;
  • Monitors, tracks, and, when appropriate, oversees work requests;
  • Assists with gathering user requirements and specifications;
  • Visits project locations when needed;
  • Coordinates and monitors space renovation projects;
  • Obtains vendor quotes and ensures proper invoicing by contractors;
  • Serves as the secondary liaison with other agencies on repair and maintenance projects;
  • Provides input for renovation of existing facilities to ensure plans conform to the department's operating practices and safety/security requirements;
  • Manages and monitors multiple concurrent facility repair and maintenance projects;
  • Investigates facility safety and security issues and recommends corrective action;
  • Coordinates risk management inspections;
  • Coordinates and monitors activities of facilities staff (i.e. Facility liaisons and station logistics technicians);
  • Plans, assigns, schedules and evaluates work of contractors involved in providing contractual services in County owned/leased facilities;
  • Oversees the work of contractors tasked with providing cleaning and maintenance services in County owned and leased facilities to ensure compliance with terms and conditions of contractual agreements;
  • Develops bid specifications, evaluates bid proposals and quotations, recommends awards and initiates procurement action for a variety of goods and services;
  • Compiles information to prepare monthly and annual reports;
  • Communicates project information including timelines and project updates to end users, team members, and other county staff;
  • Provides overall administrative support to the unit, including but not limited to purchases, reconciliations, and financial submittals.

Required Knowledge Skills and Abilities

  • Thorough knowledge of the principles, practices, and techniques of property management (e.g., ground maintenance, custodial services, lawn care standards, systems/equipment maintenance, etc.);
  • Knowledge of and the ability to identify occupational hazards and proper safety precautions pertaining to building cleaning and related service operations;
  • Thorough knowledge of the principles, practices, and methods of maintenance contract management;
  • Knowledge of contract administration and procurement processes;
  • Knowledge of appropriate maintenance principles, practices, materials, and equipment;
  • Knowledge of necessary safety precautions;
  • Ability to plan, organize, and implement work assignments and work independently on projects;
  • Ability to assess situations and reach sound conclusions and recommendations through analysis of information and data;
  • Ability to deal tactfully and equitably with people;
  • Ability to plan and direct the program of the section to which assigned;
  • Ability to use sound judgment in making independent decisions;

Employment Standards

MINIMUM QUALIFICATIONS:

Graduation from an accredited college or university with a bachelor's degree in planning, architecture, engineering, public or business administration or a closely related field: plus, one year of experience in performing building maintenance, repair and/or construction, or in managing residential or facilities development projects.

CERTIFICATES AND LICENSES REQUIRED:
Valid driver's license

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check, a Child Protective Services Registry check, a driving record check, and sanction screening to the satisfaction of the employer. A TB screening upon hire.

This position is emergency/essential services personnel. (Required to report for duty during inclement weather and/or other emergencies.)

PREFERRED QUALIFICATIONS:
  • Experience coordinating facility maintenance, repairs, or work orders in a multi-site environment.
  • Demonstrated experience using computerized work order or facilities management systems to manage maintenance requests, monitor service completion, and support reporting or tracking.
  • Experience working with contractors, vendors, and government or large organizational partners to resolve facility related issues.
  • Demonstrated knowledge of basic building systems (HVAC, electrical, plumbing, custodial services).
  • Experience supporting small renovation projects, furniture moves, or space reconfigurations.
  • Strong organizational skills with the ability to track multiple requests and deadlines.
  • Experience maintaining records, tracking invoices, and supporting purchasing or budget processes.
  • Ability to communicate clearly and professionally with staff at all levels.
  • Experience supporting safety activities, emergency drills, inspections, or risk assessments
  • Proficiency with Microsoft Office and electronic tracking or database systems
  • Ability and willingness to report to work during inclement weather or emergency situations as essential personnel.

PHYSICAL REQUIREMENTS:
Ability to communicate effectively both verbally and in writing. Ability to input, access, and retrieve information from a computer. Ability to lift to 25 lbs and to stand, stoop, bend, stretch, walk, climb, sit, kneel, crouch, reach, crawl, lift and handle materials with manual dexterity. Ability to use hand tools. Ability to operate a vehicle and travel to various locations throughout Fairfax County to visit other operational sites, attend meetings and trainings. All duties performed with or without reasonable accommodations.
