Job Summary

The Department of Psychiatry and Behavioral Sciences is the second largest department in the School of Medicine and employs over 80 faculty and about 100 Volunteer Clinical Professors. The office of Residency and Student Programs for the Department of Psychiatry provides post-graduate training for 64 residents with 6 Chief Residents and rotations for non-Psych residents, 51 fourth year medical students, and 99 third year medical students. The department provides complex analysis and management in administration, information technology and accreditation for trainees rotating to 6 affiliated hospitals and 29 affiliated sites across 3 ACGME approved residency training programs including 2 joint residency training programs, and 3 ACGME-accredited fellowship, Clinical Child Psychology Doctoral Internship and the Postdoctoral Clinical Child Psychology Fellowship in the Department of Psychiatry.

This position provides high-level support for the psychiatry training office. This position has vast knowledge of educational information systems, competency and milestone systems, and accreditation and regulatory standards. This position serves as an advisor to the training directors of the Forensic Psychiatry Fellowship Program. As well as the support for the Grand Rounds Faculty Chairs and the On Call Faculty Chair.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Demonstrated experience providing high-level administrative support.
  • Demonstrated experience with calendaring, using Outlook, along with Microsoft Suite; word, excel
  • Experience with scheduling and coordinating executive meetings and events.
  • Excellent interpersonal skills and abilities to work effectively with a wide variety of people, including trainees, School of Medicine personnel, faculty, and community physicians, to promote successful relations employing tact and diplomacy. Self-confidence to encourage residents to comply with deadlines in a professional manner. Ability to manage conflict in a constructive manner to achieve win/win solutions.
  • Planning, problem solving, and critical thinking skills to anticipate, avert and resolve issues of scheduling and task allocations.
  • Knowledge, skills, and abilities to establish, interpret, and implement policies and procedures to accomplish program objectives, and ability to communicate same to faculty, staff, and trainees.
  • Knowledge, skills, and abilities to provide administrative support for psychiatry and psychology educational program activities and to supervise the compilation of program and trainee data.
  • Demonstrated ability to recognize and maintain security of confidential information.

Preferred Qualifications

  • Bachelor's Degree in related field of study and / or equivalent experience/training.
  • Experience with Qualtrics.
  • Experience with MedHub.
  • Experience working in Graduate Medical Education.
  • Proven track record as a self-starter, to work independently to secure answers/resolutions to follow through with tasks to completion.
  • Experience coordinating large educational programs
  • Demonstrated experience working with trainees, learners, and or/in an academic environment.
  • Experience processing credentialing paperwork
  • Demonstrated knowledge of accreditation standards and board requirement.
  • Demonstrated ability to promote the range of program activities and resources to students for their use.
  • Demonstrated ability to independently organize tasks and set priorities for work assignments with little or no direction, to meet designated deadlines, to be flexible to work with others to obtain Program objectives and be willing to adjust own schedule to meet the needs of other staff, faculty, and residents on a daily basis.
  • Demonstrated skills to communicate effectively and efficiently (both orally and in writing) with all levels of academic, administrative, clinical and staff personnel within the School, Campus, Medical Center, and outside agencies and institutions.
  • Demonstrated ability to use tact and diplomacy to effectively work with the public, department personnel, and other departments within and outside the organization. Ability to consistently conduct self in a professional manner using pleasant and sincerely courteous demeanor at all times.
  • Advanced communication and writing skills to openly express views and opinions in an effective and professional way to a variety of people.
  • Ability to manage high volume of paperwork effectively and efficiently.
  • A self-starter with strong planning, analytical skills and attention to detail. Excellent decision-making skills. Strong skills to develop innovative solutions, attempt difficult and unfamiliar project assignments, and problem-solve in complex situations. Ability to work independently and in a team setting.

Department Overview

This position interacts with institutional and regulatory administrative offices, provides ongoing training, assists in coordinating all program events including but not limited to orientation, graduation, retreats, educational lunches, and in-training examinations. The work of the position is completed in a complex, politically charged and rapidly changing environment.

This position also is responsible for additional administrative office support and serves as the main Departmental contact person, answering a variety of questions from the public and other University departments and offices requiring knowledge of intra and interdepartmental functions; and is responsible for incoming and outgoing mail.
