Facilities Coordinator - JLL What this job involves: As a Facilities Coordinator at JLL, you will assist the Regional IFM Team across all service lines with tactical planning while managing and maintaining regional integrated facility management tasks as assigned. This role requires you to coordinate support for meetings and conference room reservations, manage work orders in the Corrigo CMMS system, and assist with coordination and scheduling of maintenance activities. You'll provide direction to vendors, facilities staff, and service providers while serving as JLL liaison for third-party service providers that reflects JLL's commitment to operational excellence and client satisfaction through effective facility management. What your day-to-day will look like: Administrative Function: * Assist Regional IFM Team across all service lines with tactical planning for team goals and objectives * Manage and maintain regional integrated facility management tasks as assigned * Coordinate and provide support for meetings and conference room reservations as needed for client or JLL * Manage work orders in Corrigo CMMS system while tracking maintenance activities to completion * Assist with coordination and scheduling of maintenance activities as needed for optimal facility operations Communication and Relationship Coordination: * Provide direction and information to vendors, facilities staff, and service providers for excellent coordination and execution * Ensure work aligns with proper safety controls within partner environment with minimal disruption * Serve as vendor management and JLL liaison for third-party service providers * Assist sourcing and supply chain with vendor engagement, setup, and management for services required at site level * Provide overall FM support through management of service requirements, vendor setup, communications, and process controls * Ensure appropriate follow-up with JLL management, BP partners, and service providers for seamless operations Compliance: * Properly and effectively administer and maintain all security systems * Assist with budgetary requests, analysis, and reporting for accurate financial management * Assist with researching, analyzing, and reporting budget variances to ensure fiscal responsibility * Perform other related duties as assigned to support comprehensive facility management Required Qualifications: * Associates degree in facilities management, building, business, or related field or equivalent work experience * Minimum two years of industry experience with facility or property administration * Superior customer service skills and orientation for exceptional client interaction * Excellent verbal and written communication skills for professional stakeholder engagement * Excellent organizational skills and attention to detail for accurate task management * Strong collaborative working style with ability to maintain professionalism under stressful situations * Ability to perform well in fast-paced environment while planning and managing work safely under time constraints * Ability to multitask and work without direct supervision effectively * Proficiency with JLL's Corrigo CMMS system for work order management * Advanced Excel spreadsheet skills with capability of customizing administrative reports * Proficiency in Microsoft Office Suite for creating and maintaining reports and logs Preferred Qualifications: * Bachelor's degree in facilities management, building, business, or related field * Experience with integrated facility management across multiple service lines * Background in vendor management and third-party service provider coordination * Knowledge of budgetary analysis and variance reporting processes * Experience with security system administration and maintenance * Understanding of sourcing and supply chain processes in facility management Location: Onsite/Regional Support - Huntington Beach, CA Estimated compensation for this position: 52,000.00 - 57,000.00 USD per yearThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
