We are currently searching for an experienced Quality Coordinator to support the West Gulf Program Management (PM) region from our Baton Rouge, LA location.
To be considered for this position, applicants must have a minimum of 3 to 5 years of administrative support experience.
As the Quality Coordinator, you will support the PM team. Responsibilities involve the preparation and implementation of Quality Management Plans, Safety Plans, and other key performance tasks in support of the Project Managers throughout the region. We are seeking a proactive, detail-oriented individual who wants to maintain excellence in delivery quality for every project we deliver to our clients. You will collaborate with peers in other regions of Volkert providing similar support.
What you'll be doing:
West Gulf Program Management Team Support:
- Assist the region Vice President with Quality Management Program, Safety Program, and related standards and procedures throughout the region.
- Assist the Region Vice President with Operations and corporate Policies/Protocols.
- Work closely with Project Managers.
- Assist Project Managers with project setup and close-out requirements.
- Coordinate with PM region Operations Coordinator.
- A team player who will play a vital role as a key value for Volkert Quality, and who has the flexibility to support other areas as needed.
- Assist with maintenance of an overall WG PM Work Plan/Schedule.
Quality Specialist:
- Assist Project Managers with the setup and implementation of the Volkert Quality Management Program and individual Quality Management/Control Plans in accordance with Corporate Quality Management Staff.
- Initiate and assist in setting up new quality plans and confirm completion/execution of plans in accordance with corporate guidelines.
- Schedule and track quality audits.
- Assist with Quality Audit presentations.
- Monitor deliverables in each project quality plan and work closely with Project Managers to comply with the plan.
- Provide periodic status reports for all Quality Management Plans in the region.
Safety Specialist:
- Assist Project Managers with the setup and implementation of Site-Specific Safety Plans in accordance with Corporate and Regional Safety Staff.
- Conduct periodic job site safety visits.
- Assist Volkert Corporate and PM Region Safety personnel with job site, workplace, and vehicle safety measures.
- Document and track safety incidents and near misses.
- Prepare periodic safety reports/presentations on safety and lessons learned.
Project Management Assistant:
- Assist Project Manager with setup of project folders, and assist with folder and file maintenance.
- Digital Project Management Platform (e-builder or other) - Work with Project Managers to set up projects and maintain adequate data. Confirm and coordinate the data entry necessary to build client and company level project management reporting (e.g., project cost and schedule data must be input to produce relevant project reports). Your role will be to ensure this work is taking place both at the PM level and at your level.
- Assist Project Managers with collection and tracking of bid documents, 10-day post bid documents, Notice to Proceed, executed/recorded contracts, substantial completion documents, logging and filing of change orders.
- Assist with project status reporting, program status reports, and presentations.
- Collect and assemble Site-Specific Project/Program Schedules into the WG PM Master Schedule.
Project Creation/Management:
- Assist Volkert PM Administrative Personnel in taking the necessary steps to set up, maintain, and close out WG PM Projects.
- Assist in obtaining respective company project numbers for new WG PM Projects.
- Assist in distributing proper insurance certificates from the company's corporate office to respective clients whose contracts have been executed.
Administrative Support:
- Maintain office supplies.
- Order supplies as needed (coordinate ordering and delivering supplies needed to remote employees).
Human Resources:
- Assist PM Region Administrative team with onboarding and orientation of new hires in the WG PM Region.
- Assist PM Region Administrative team with the distribution of new directives, processes, and protocols throughout the WG PM team.
What you need to have:
- High school education or equivalent with a minimum of 3 to 5 years of administrative support experience.
- Professional office etiquette and strong customer service skills for internal and external customers.
- Construction Management experience preferred.
- Safety training and experience preferred.
- Proficient with MS Office Suite including intermediate to advanced skills in MS Excel, MS Word, and MS Projects.
- Ability to pass a pre-employment drug screening to ensure a safe and productive work environment. Volkert adheres to federal guidelines, which may include testing for substances such as marijuana. Please note that federal regulations may differ from state-specific guidelines.
- If applicable to the position, a post offer fit for duty evaluation to ensure the individual can safely perform the essential functions of the role.
- Valid driver's license.
- A satisfactory motor vehicle report (MVR).
