Position Highlights

The University of Arizona's School of Journalism invites you to apply to the role of Administrative Associate (Administrative Support Assistant III). The Administrative Associate will be the first point of contact for students, faculty, staff and visitors, and supports the department with administrative duties inclusive of ordering office supplies, submitting maintenance and technology requests, preparing expense forms, and creating analytics reports. Additionally, this position supports faculty with the UA Vitae system, the promotion and tenure process and sabbatical leave requests. The incumbent also assists the department with event planning and outreach support.

This position will be in-person and reports to the School of Journalism's Director.

Duties & Responsibilities

Administrative Support:

Serve as first point of contact for students, faculty, and any visitors to the School of Journalism, to include:

  • Open and close the main office, order office supplies and manage FM maintenance requests and building keys.
  • Monitor facilities for cleanliness and damage and post wall fliers.
  • Review all incoming mail, provide copying and other secretarial help for the director and others as needed.
  • Prepare expense forms and submit to the business center for processing.
  • Assist faculty and students in completing TicketDog for technology problems.
  • Schedule meetings or special events in classrooms.
  • Inform faculty and students of important issues or deadlines from the Marshall Business Center.
  • Compile and distribute emails through the various school listservs.
  • Take minutes of faculty/staff meetings, annual retreat and JAC meetings.

Student Support:

  • Maintain CatCard Access for students.
  • Assist the director, the academic advisor and the program coordinators in data collection.
  • Run student equipment check in/out process, when needed.
  • Input student financial awards. In charge of coordinating all aspects of the "Just Desserts" event each spring.
  • Assist with student scholarships.

Faculty Affairs Support:

  • Assist with major sections of the school's Academic Program Review and accreditation self-study as needed.
  • Compile data for Journalism's annual report card.
  • Assist as Faculty Affairs liaison for UA Vitae, coordinating Promotion & Tenure process and annual faculty reviews.
  • Assist director with compiling sabbatical leave requests.

  • Demonstrated ability to work independently and stay self-motivated.
  • Strong teamwork and collaboration skills with a high level of dedication.
  • Proficient knowledge and skill in the use of Microsoft Office tools.
  • Knowledge of issues pertaining to area of assignment.
  • Knowledge of organizational practices.
  • Knowledge of supervisory practices and principles.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Ability to write effectively.
  • Ability to work in person.

  • High school diploma or high school diploma equivalency is required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
