DESCRIPTION

Department Overview:

The School of Biological Sciences is a large and complex school within Academic Affairs and is overseen by the Dean of Biological Sciences with the assistance of Associate and Assistant Deans. BioSci has four academic departments, Cell and Developmental Biology, Ecology Behavior and Evolution, Molecular Biology and Neurobiology with a Shared Services Administration unit supporting the Dean, the School and the four departments. Each department is headed by a Chair who works individually to represent their department, and works collaboratively as a member of the School Council of Chairs (CoC) on the concerns which cross the boundaries of department governance. BioSci reflects broad foci in faculty research and in the academic programs offered by the School. The School has over 100 faculty FTE, ~20 teaching professors, ~50 professional researchers, ~150 postdoctoral scholars, ~55 adjuncts, ~20 Unit 18s, ~145 staff in career/casual titles, and ~425 student workers and volunteers and involves members of ~9 bargaining units. There are approximately ~5,500 undergraduate students enrolled in 8 majors, with annual enrollments of ~30,000 students (~9300 per term); ~350 graduate students with annual enrollments of ~2,400; more than $34 million per annum in extramural funding, and approximately ~$65 million in total annual expenditures. The school occupies space in 10 buildings, totaling 302,000 SF, including class laboratories and instructional support space, research labs, and recharge facilities.

Our mission is to advance knowledge of basic biological sciences and apply our research discoveries in ways that improve human health, protect our environment and enrich our economy. We fulfill our mission every day by educating and preparing the next generation of scientists, physicians, medical researchers and educators for 21st century careers, and by increasing public understanding of biology and encouraging scientific discovery among K12 teachers and school children.

Position Overview:

Applies professional student services concepts. Provides varied student services to students, faculty, and department / school / college management. Works on moderately complex issues. Receives assistance on more complex issues.

Under general supervision of the Assistant Director of Enrollment Management and Instructional Support, this position provides a wide variety of academic, administrative and student support services to prospective and continuing students for the School of Biological Sciences (BioSci). Responsibilities include instructional support, general intake, academic advising, and coordination of enrollment processes. Responsible for interpretation and implementation of appropriate campus and School policies, regulations, and procedures. Participation in planning for short-term and long-term School goals and objectives in support of student academic and educational enrichment programs. Works closely with supervisor, advisors, Director of Academic and Student Services, Chief Education Officer, and faculty on student services issues and programmatic matters.

Serve as initial point of contact for the School of Biological Sciences' Student and Instructional Services (SIS) office. Responsibility for "triage" advising services, providing guidance to students and other constituents on UCSD and School policies and procedures. Provide individuals with accurate information and appropriate referrals to various campus offices/resources. Provide general office management and administrative support in a highly computerized and team-oriented environment. Perform other duties as assigned.

  • This position offers a hybrid (remote/on-site) work arrangement- four days on-site per week and one day remote. The on-site location is on the main campus in La Jolla.

  • Overtime may be required.

QUALIFICATIONS
  • Knowledge of advising and counseling techniques.

  • Knowledge of University-specific computer application programs and pertinent databases.

  • Demonstrated ability to work in computing environment using various systems (including the School's proprietary systems).

  • Must have the ability and willingness to add and update knowledge and skills as needed to meet the direction of the organization.

  • Knowledge of University processes and procedures.

  • Knowledge of University, campus and School policies and procedures related to all aspects of student affairs curriculum including, but not limited to, confidentiality, course transfer requirements, the college system, the advising role in serving students, and services available to students through campus departments and agencies.

  • Knowledge of Registrar's regulations and procedures for scheduling, registration, enrollment, and grading.

  • Understanding of University rules and regulations.

  • Demonstrated ability to interpret policies, set logical priorities, make decisions independently, work with minimal directions, and negotiate conflicts.

  • Interpersonal skills.

  • Demonstrated ability to deal with people in a professional and concerned manner and the ability to effectively listen, advise, counsel and interact with diverse personalities using tact, diplomacy, and independent and mature judgments.

  • Basic knowledge of student immigration and visa processes pertaining to international students and scholars.

  • Willingness and demonstrated ability to embrace and consistently uphold the principles of community for a collaborative work environment.

  • Basic understanding and experience with event planning and organizing.

  • Can assist and work independently when given tasks related to planning small and large scale events.

Pay Transparency Act

Annual Full Pay Range: $55,400 - $93,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $26.53 - $44.92

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
