HJF is seeking a Program Coordinator to provide administrative project oversight under the direction of a supervisor. The Program Coordinator will support HJF's Uniformed Services University of the Health Sciences (USU) Operations Team and perform a wide range of administrative and clerical duties to include coordination of budgets and accounting, space management, personnel management, overall management, contracts, and purchasing. Completes more routine tasks independently and relies on guidance from higher Program Manager (PM) levels for more complex tasks.

  • Coordinates the development of the Centers 5-year reviews and the Centers/Departments annual progress reviews that entails coordinating communication with internal and external customers, scheduling top level meetings, and note taking.
  • Coordinates with the Communications Department in developing reports to include an annual report and promotional material as needed.
  • Communicates with internal staff and external customers.
  • Provides administrative support under the direction of a supervisor such as hiring, travel, purchasing, and tracking progress.
  • Administrative duties can include managing multiple HJF sites' directories, developing and tracking surveys for internal staff and USU leadership, and creating Standard Operating Procedures (SOP) or guidelines for various projects.
  • Serves as the Onboarding POC for USU Centers Operations team to ensure new hires receive a warm welcome and experience a smooth onboarding process in their new roles. Duties include monitoring the status of security investigations, assisting new hires in completing required onboarding forms, and preparing new hire's first-day logistics.
  • Include budgetary responsibility to include plan/forecast.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.
  • Knowledge of organizational objectives, the federal budget process, office automation. Ability to work completely independently, use sound judgement in solving problems.
  • Coordinate many complex systems and programs simultaneously.
  • Knowledge of Microsoft Office tools (i.e., basic functions, graphs, formats, etc.)
  • Knowledge of project management principles, and good communications skills.


Education and Experience



  • Bachelor's Degree required
  • Minimum of 0 - 2 years experience required


Supervisory Responsibilities



  • Assigned Lead: May recommend the following: employee hiring, disciplinary action, and starting salaries; provide input on employee performance evaluations.


Required Knowledge, Skills and Abilities



  • Knowledge of organizational objectives, the federal budget process, office automation.
  • Ability to work completely independently, use sound judgement in solving problems.
  • Must have strong excel, PowerPoint, and MS suite, and Google suite experience.
  • Coordinate many complex systems and programs simultaneously.
  • Knowledge of project management principles, and good communications skills.


Physical Capabilities



  • Lifting: Requires lifting materials up to 25 lbs.
  • Ability to stand or sit at a computer for prolonged periods


Work Environment



  • This position will take place primarily in a office setting.


Compensation



  • The annual salary range for this position is $50,100-$72,000. Actual salary will be determined based on experience, education, etc.
