Requisition Id15499 Overview: We are seeking a Medical Receptionist who will be the first point of contact in Health Services, managing administrative tasks such as scheduling appointments and maintaining patient records. This position also facilitates effective communication between patients, healthcare providers, and administrative staff while ensuring patient confidentiality and fostering a welcoming, organized environment.This position resides in the Medical Operations Group in the Health Services Division of Environment, Safety, Health and Quality atOak Ridge National Laboratory(ORNL). Major Duties/Responsibilities:
- Greet employees and visitors to Health Services professionally and courteously.
- Ensure patients/visitors to Health Services are assisted promptly and efficiently.
- Ensure the reception area is well-maintained, neat, and clean.
- Always maintain patient confidentiality.
- Notify patients and/or supervisors of scheduled appointments.
- Assist employees with completing necessary forms and documentation.
- Responsible for creating, distributing, and receiving Job Requirement forms.
- Receive incoming phone calls and field messages to appropriate staff.
- Respond to emails in a professional manner.
- Assist with current or historical medical record requests from patients to include FOIA, EEOICPA, and self-requests.
- Assist with uploading medical records into the electronic medical record system.
- Prepare documents and supplies for upcoming appointments.
- Maintain the daily schedule report of examinations for each provider.
- Schedule appointments for patients enrolled in medical surveillance programs to meet the requirements of occupational policies, procedures, and standards.
- Assist in rescheduling medical appointments for patients as needed.
- Schedule pre-employment physicals for new hire candidates.
- Create and maintain procedures for areas of reception and appointment scheduling.
- Responsible for monitoring and adherence of DOE-related medical program surveillance requirements.
- Responsible for preparing, maintaining, and distributing Human Reliability Program (HRP) paperwork.
- Collaborate and support other medical specialists such as nursing, physicians, or psychologists with professionalism and discretion.
- Correspond with multidisciplinary employees throughout the Oak Ridge National Laboratory.
- Cover various clinic hours for patient reception assistance regarding occupational program requirements.
- Other duties may be assigned at the supervisor's discretion.

Basic Qualifications:
- HSdiploma.
- Minimum of 2 years' administrative experience gained by previous employment in a medical office environment.
- High level of proficiency with Microsoft Office software and excellent interpersonal and communication skills are required.

- Time management in completing daily tasks.
- Must have the ability to multi-task.
- Punctual adherence to work schedule.
- Experience working within a regulation-heavy environment such as a federal agency or contractor.

- Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.
Security, Credentialing, and Eligibility Requirements:
- This position requires the ability to obtain and maintain an HSPD-12 PIV badge.
- For employment at Oak Ridge National Laboratory (ORNL), a Real ID compliant form of identification will be required.
- Additionally, ORNL is subject to Department of Energy (DOE) access restrictions. All employees must also be able to obtain and maintain a federal Personal Identity Verification (PIV) card as mandated by Homeland Security Presidential Directive 12 (HSPD-12) and Department of Energy (DOE) Order 473.1A, which requires a favorable post-employment background investigation.
- To obtain this credential, new employees must successfully complete and pass a Federal Tier 1 background check investigation. This investigation includes a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last year. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.
