THE ROLE The Executive Administrative Manager role is critical to ensuring the Enterprise Leadership Team (ELT) operates at peak efficiency by providing proactive administrative support and leading the executive administrative team to enable the organization to achieve its strategic goals. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential matters with discretion. The Office Manager will manage high-level projects, calendars, and initiatives while serving as the primary point of contact for internal and external stakeholders, coordinates communications and ensures the smooth running of day-to-day activities. WHAT YOU WILL DO Executive Support Responsibilities:
Partner with senior executives to provide proactive high-level executive and administrative support including managing multiple personal and professional calendars; scheduling meetings, town halls, events, and appointments; coordinating domestic and global travel; and process travel expense reports. Prepare and edit correspondence, reports, presentations, and other documents as needed. Review and manage emails. Act as liaison between executive and internal/external stakeholders.
Team Leadership Responsibilities:
Manage the executive administrative team of five individuals to ensure alignment with office goals and objectives. Foster a collaborative and positive team culture by encouraging open communication, recognizing achievements, and addressing challenges proactively. Manage office supplies, equipment, and other resources to ensure availability and functionality. Provide mentorship and ensure training, development, and cross-training initiatives including onboarding new personnel and providing guidance on company and ELT policies.
Administrative Initiatives for ELT:
Coordinate interdepartmental communications and ensure the timely dissemination of information. Handle incoming requests and inquiries, prioritizing and responding on behalf of executives when appropriate. Assist in planning, executing, and monitoring special projects and initiatives led by the ELT and develop timelines and track progress to ensure projects meet deadlines and objectives. Manage office budgets and track expenditures to ensure adherence to financial guidelines. Process, review to ensure accuracy, and approve expense reports and reimbursements for the ELT. Lead efforts to establish and optimize administrative policies, projects and procedures to ensure quality efficient workflow pertinent to the ELT. Ensure spreadsheets and documents are kept current with all changes in staff Act as liaison with internal leadership, external contacts, and board members to ensure requests, questions, and concerns are completed and resolved in a timely manner.
WHAT WE ARE LOOKING FOR
Bachelor's degree plus minimum of 8 years of experience in administrative or office management roles, preferably supporting executive-level leadership. Ability to work independently, manage multiple priorities with precision, and contribute effectively as part of a collaborative executive administrative team. Strong interpersonal skills and ability to interact with all levels of internal and external management. Strong analytical, organization, communication, and project management skills. Independent problem solver who presents solutions and takes initiative. Ability to handle information in a manner which protects confidentiality. Superior computer skills with expert knowledge of Microsoft Outlook (advanced calendar management and email organization), Word, Excel and PowerPoint.
PREFERRED SKILLS, QUALIFICATIONS & EXPERIENCE
Experience in a financial services or investment management environment. Certification in administrative or executive support (e.g., CAP, PACE).
