Responsibilities

Sabre Systems, LLC is seeking a professional, detail-oriented, and customer-focused Receptionist to join our team. The ideal candidate will have a proven track record of delivering exceptional customer service, managing multiple priorities, and collaborating effectively with diverse teams. As the first point of contact for visitors, clients, and employees, the Receptionist will play a key role in creating a welcoming and professional environment. This position requires excellent communication skills, strong organizational abilities, and a commitment to confidentiality and customer service.

In addition to serving as the face of the organization, the Receptionist will be responsible for a variety of administrative and office management tasks, supporting upper management and working closely with multiple departments to ensure smooth day-to-day operations.

Visitor Management:

  • Welcome and direct visitors, clients, and employees in a professional and courteous manner
  • Verify visitor credentials, issue visitor badges, and ensure compliance with security protocols
  • Maintain accurate visitor logs and ensure adherence to company policies, including confidentiality and security procedures

Reception Area Oversight:

  • Maintain a clean, safe, and organized reception area and shared office spaces
  • Coordinate the use of meeting spaces, including managing conference room reservations and arranging catering services, including setup and cleanup

Communication Management:

  • Answer and direct incoming calls, take messages, and respond to inquiries via phone and email promptly and professionally
  • Serve as a central point of contact for internal and external communications

Administrative Support:

  • Provide general administrative support, including data entry, filing, and document preparation
  • Monitor and maintain inventory of office supplies, including ordering and restocking as needed (e.g., office supplies, coffee mess, and other consumables)
  • Keep kitchen area clean and organized
  • Assist with planning and organizing office events, meetings, and training sessions
  • Assist with Timesheets utilizing Deltek Cost Point
  • Manage inter-office mail, FedEx deliveries, and coordinate with building facility personnel for service calls

Collaboration and Support:

  • Work closely with upper management and various departments to support administrative needs
  • Ensure all tasks are completed in alignment with company policies and procedures

Qualifications

Education:

  • High school diploma or equivalent required; associate degree or higher preferred

Experience:

  • Minimum of 2 years of experience in a receptionist, administrative, or customer service role
  • Experience in a government contracting environment is a plus

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Ability to provide outstanding customer service to internal and external clients
  • Experience with scheduling appointments and maintaining/updating appointment calendars
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Professional demeanor and appearance
  • Self-motivated with the ability to work independently, demonstrating flexibility, accountability, and initiative

Additional Requirements:

  • Ability to obtain and maintain a DoD Secret Clearance (if required).
  • Must be a U.S. Citizen.
Compensation

At Sabre Systems, LLC, compensation is based on factors such as location, qualifications, experience, and contract-specific requirements. The hourly rate for this position is $15.00 to $19.50; however, final compensation will be determined by individual qualifications and applicable terms.
