Position Summary

This role is an intermediate to senior level position that supports the organization at the enterprise level, reporting to Corporate Counsel with a strong dotted line to the VP Corporate Controller. This role is responsible for managing the Company's real estate portfolio, which includes office, flex, and industrial spaces, including new and existing leasing, acquisitions, and disposition of properties. The role is responsible for working with the Operations and Finance teams and managing external real estate brokers. Key competencies include financial analysis, lease negotiation, portfolio administration, and ensuring properties meet the Company's specific requirements. Additionally, this role is responsible for facilities management of US properties to ensure consistency across the organization. This position is based in our Hollywood, FL office and offers a hybrid work arrangement. Qualified candidates in other locations may also be considered based on experience and business needs.



Responsibilities

Real Estate Strategy Management

    Develop and execute a real estate and facilities strategy aligned with corporate objectives.
  • Partner with ELT and leadership within Operations, Legal, Finance, Human Resources, and IT to ensure the real estate portfolio accurately meets current needs and reflects anticipated future space and workplace needs.
  • Ensure efficiency and cost-effectiveness of the real estate portfolio.
  • Identify opportunities for value-added real estate solutions.

Portfolio Management

  • Maintain lease database management systems, currently Visual Lease, but any other than Company may utilize in the future.
  • Engage with internal stakeholders regularly as a trusted advisor to ensure the portfolio is proactively managed.
  • Ensure deadlines for renewal options and terminations are adhered to by maintaining a forward-looking real estate plan and open communication across functional groups.

Leasing

  • Coordinate new locations, renewals, terminations, and relocations, with use of an external real estate broker as necessary and appropriate, to support operational needs.
  • Ensure that proposed real estate transactions meet the Company's standards and specific licensing and zoning requirements.
  • Draft, review, and negotiate Letters of Intent, Leases, Renewals, Amendments, and Early Termination Agreements.

Project Management

  • Develop conceptual budgets and schedules for potential projects with minimal specific information.
  • Lead the creation of and presentation of business cases, scenario modeling, and reporting to drive decision making.
  • Manage budgets for real estate spend on an ongoing and forward-looking basis for capital projects and facilities operations.
  • Coordinate all parties involved in build-to-suit projects and ensure consistent, cost-effective progress.
  • Develop project plans and coordinate cross-functional teams (both internal and third-party) through meetings and progress measurement activity that bring distinct, specific projects to completion both on time and within budget.
  • Prepare architect/engineer/contractor requests for proposals; analyze/align bids and make award recommendations.

Facilities Management

  • Lead negotiations for, overall budgeting of, and management of tenant improvements.
  • Assist local leadership with maintenance, repairs, and capital expenditure projects.
  • Support local leadership with local licensing and registration of new facilities.

Mergers & Acquisitions

  • Perform due diligence for proposed transactions.
  • Lead integration efforts following transactions with respect to real property, including assignment and assumption of leases, consolidation of locations, and disposition of properties, as appropriate.

Requirements

KNOWLEDGE, SKILLS & ABILITIES:

  • Strong knowledge of real estate transaction negotiations, construction management, and facilities operations.
  • Thorough knowledge of lease provisions and familiarity with all lease-related documents.
  • Superior understanding of project contracts, change orders, and related documents.
  • Ability to read and understand financial statements and cash flows.
  • Technical fluency with commercial construction systems, methods, and materials
  • Ability to manage multi-million dollar budgets and deliver costs savings.
  • Knowledge of lease database management systems.

EDUCATION:

  • Bachelor's degree preferred, but significant actual experience may substitute. Weight also given to Real Estate-related certifications and paralegal certificates.
  • 7+ years prior experience in the corporate real estate field required.

PHYSICAL JOB REQUIREMENTS & DEMANDS:

  • Must be able to remain in a stationary position for extended periods of time while working on a computer.
  • Frequently operates standard office equipment such as computers, phones, printers, and copiers.
  • Requires frequent communication with employees, managers, and external partners, necessitating clear verbal and written communication skills.
  • Occasionally moves or lifts office materials, files, or supplies weighing up to 20 pounds.
  • Requires the ability to concentrate on detailed work, reviewing and entering information with accuracy for extended periods.
