The Attendee Management Specialist is a vital member of the UnitedHealth Group's Events Center of Excellence, supporting both internal, external and executive events. This role is responsible for managing event attendee invitation and registration process to ensure consistency with brand and corporate requirements across high-priority enterprise programs. Daily duties include strategic planning and collaboration with internal stakeholders on the attendee management portion of their events. Success in this role requires comfort navigating a highly matrixed organization, managing multiple stakeholders, and adapting to shifting priorities. This position requires the ability to work in a fast-paced environment with a desire to drive successful and productive outcomes on a consistent basis. The ideal candidate is highly organized, detail-oriented, thrives in collaborative and fast paced environment and has a passion for corporate events.

This position is full-time (40 hours/week) Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8am - 5pm. It may be necessary, given the business need, to work occasional overtime.

We offer 4 weeks of on-the-job training. The hours of training will be aligned with your schedule.

Primary Responsibilities:

  • Manage end-to-end attendee management that drive a consistent experience, providing on-site support when needed
  • Manage relationships with existing and potential vendors, ensuring mature utilization of existing tools and roadmap development
  • Provide ongoing reports to Event Managers and business partners regarding registration, reporting, attendee communications and mobile app deployment
  • Maintain and build strong working relationships with cross-functional peers while adhering to established RACI (Responsible, Accountable,
  • Consulted, Informed) / workstream guidelines for events
  • Partner with key vendors to ensure accurate hotel accommodations and flight manifests

Required Qualifications:

  • High School Diploma / GED
  • Must be 18 years of age or older
  • 3+ years of experience with attendee management within a corporate centralized event planning function
  • 3+ years of experience in a deadline driven environment, with ability to manage competing priorities and stakeholder expectations
  • 3+ years of experience with transportation logistics for flights and ground transfers
  • 3+ years of proficiency in Microsoft office suite including Microsoft Word, Microsoft Excel, Microsoft Outlook and Microsoft PowerPoint, Teams
  • 2+ years of experience with Cvent Event Registration and Cvent On Arrival
  • Ability to travel up to 25% of the time for onsite event execution

Preferred Qualifications:

  • Experience in a strategic meeting management function within a Fortune 500 firm
  • Experience with Adobe platforms (e.g., Workfront)
  • Experience with Ariba and Concur
  • Familiarity with inventory management systems or tools
  • Ability to work a hybrid schedule, with four days per week onsite at 1 Optum Circle, Eden Prairie, MN 55344
  • Reside within commutable distance to the office at 1 Optum Circle, Eden Prairie, MN 55344

Telecommuting Requirements:

  • Ability to keep all company sensitive documents secure (if applicable)
  • Required to have a dedicated work area established that is separated from other living areas and provides information privacy
  • Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service

Soft Skills:

  • Strong organizational skills and attention to detail. Ability to work independently while supporting multiple events.
  • Demonstrated ability to meet deadlines

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The salary for this role will range from $58,800 - $105,000 annually based on full-time employment. We comply with all minimum wage laws as applicable.
