Job Summary


Employment Duration: 6 months

The Administrative Assistant 3 provides comprehensive administrative and operational support to the Associate Chair of Operations in the Department of Psychiatry and Behavioral Sciences. This role manages scheduling, travel coordination, reimbursements, and project tracking while also assisting with strategic initiatives, event planning, and operational services. The position requires strong organizational, communication, and problem-solving skills to ensure smooth departmental operations and effective support of leadership priorities.

Key Responsibilities:

  • Manage and administer a range of administrative operations for the department.
  • Provide direct support to the Associate Chair of Operations, including:
    • Scheduling meetings
    • Coordinating travel and reimbursements
    • Planning events and retreats
    • Managing special projects and committees

Support departmental operations by:

  • Coordinating communication in collaboration with the Director of Communication
  • Creating reports and communication plans
  • Organizing workgroup sessions and visits
  • Managing conference rooms and IT equipment
  • Submitting and monitoring facilities and IT work orders

Provide office administration support, including:

  • Reception desk coverage
  • Processing BearBuy orders and reimbursements
  • Supporting task forces and departmental committees
  • Performing other administrative duties as assigned

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • High school diploma and four years of related administrative experience, or equivalent education and experience
  • Excellent verbal, written, and interpersonal communication skills
  • Proficiency with Microsoft Office
  • Strong organizational and documentation abilities with attention to detail
  • Ability to work independently and in a team environment, prioritize tasks, and meet deadlines
  • Strong writing and presentation skills

Preferred Qualifications


  • Familiarity with UCSF systems and processes, including BearBuy, MyExpense, and TAO
  • Experience managing complex calendars and projects in an academic or healthcare setting
