Description

Under direction of the assigned manager, provide a variety of services to students with special needs including students in the Extended Opportunity Programs and Services (EOPS), E-Services Lab, and various state and federally funded programs; respond to requests from students, faculty, staff and the general public regarding assigned program; perform a wide variety of clerical duties involving specialized knowledge of college policies and procedures, computer support services; Incumbents in this class may assist with general, clerical and administrative duties. This is an entry level generic classification involving assignments to any student services program.

Responsibilities and Duties

ESSENTIAL FUNCTIONS:
  • Provide assistance and a variety of clerical services to students with special needs, and the general public and students in various funded programs.
  • Provide in-person and telephone reception and information services to students, faculty, staff and the general public regarding matters requiring specialized knowledge of rules, procedures, policies, services and activities related to assigned program, including responding to on-line inquiries; provide information on admissions, matriculation, financial aid and registration policies and procedures; refer students to other college services as appropriate.
  • Create, maintain and update a comprehensive database of students in assigned program; operate computer and perform word processing functions; assist in maintaining accurate statistics and generating reports from database as needed.
  • Perform a variety of general office duties, including answering multiple telephone lines, copy machines, facsimile machines, and other office equipment; utilize computers for data entry, word processing, spreadsheet applications, scheduling of student appointments, and other related applications; format, type and proofread a variety of letters and reports.
  • Assist in the preparation of marketing materials, informational flyers, brochures and other student information.
  • Utilize software programs to update information.
  • Train, oversee, and assist in the selection of student or temporary workers; Coordinate the use of student or temporary workers, including scheduling and timecard reporting.

WHEN ASSIGNED TO EOPS OR OTHER CATEGORICALLY FUNDED PROGRAMS:
  • Provide general administrative support in the areas of student outreach, student service delivery, student progress monitoring, student transfer and career services, student data collection, and records management; make copies of documents.
  • Assist the Director with the coordination of instructional programs.
  • Schedule appointments, register students for courses, confer with counselors and assist students in completing forms and applications.
  • Assist with inventory control, volunteer coordination, record keeping, outreach and advocacy.
  • Perform related duties and responsibilities as assigned.
WHEN ASSIGNED TO E-SERVICES LAB:
  • Troubleshoot computer software programs.
  • Provide assistance and coordination with Financial Aid, Admissions and Records, Assessment, Guidance and Counseling, EOPS, DSPS and other programs.
  • Provide in-person and telephone reception and information services to students, faculty, staff and the general public.
  • Perform related duties and responsibilities as assigned.
WHEN ASSIGNED TO DSPS:
  • Serve students with disabilities including EOPS, E-services lab and general public.
  • Assist students and staff with administrative duties in support of the program assigned.
  • Perform related duties and responsibilities as assigned.

Qualifications

Knowledge of:
  • Methods and techniques of dealing with a diverse student population, including students with a wide range of disabilities, backgrounds and special program needs, depending on area of assignment.
  • Support services available for students with special program support needs.
  • A variety of college information, services, policies, procedures and resources.
  • Principles of providing good customer service.
  • Office procedures, methods and equipment, including basic computer word processing, spreadsheet software and the internet.
  • Principles of business letter and basic report preparation.
  • Principles and procedures of record keeping.
  • Pertinent Federal, State and local codes, laws and regulations.
Ability to:
  • Make appropriate campus referrals as requested by students.
  • Respond to requests and inquiries from students, faculty, staff and the general public.
  • Work in a demanding environment.
  • Organize and prioritize assignments.
  • Operate standard office equipment including computers, the Internet, and supporting word processing and spreadsheet applications.
  • Troubleshoot computer problems.
  • Understand and follow oral and written instructions.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain cooperative and effective working relationships with all employees and others encountered in the course of work.
  • Demonstrate sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, linguistic, and ethnic backgrounds and disabilities of community college students and staff as demonstrated by skills and abilities in cultural responsiveness and cultural humility.
EDUCATION AND EXPERIENCE:
Any combination of experience and training that would provide the required knowledge and abilities is qualifying. A typical way to obtain the required knowledge and abilities would be:
Education:
High school diploma or equivalent.
Experience:
One year experience providing services to students with a history of educational, cultural, or economic disadvantage or disabilities in college/university, agency or governmental settings.
