Position Highlights

The University of Arizona's Steward Observatory invites applications for the position of Administrative Support Assistant I. This position is to provide temporary entry-level administrative support services to the Business Office operation team, and will also help support the department's day to day administration needs provided by the Business Office.

This is an Extended Temporary Employment (ETE) position.

Duties & Responsibilities

P-Card:

  • Daily email notifications to cardholders for paperwork
  • Review all paperwork submitted for errors
  • Follow-up for compliance issues
  • Maintain cardholder department files
  • Run weekly recon status report

Purchasing:

  • Business Office Purchase
  • Faculty/Staff Purchases as needed
  • Monthly vendor payments

Student Job Support:

  • Running file reports
  • Organizing Job Tasks
  • Training Students

Data Entry:

  • Travel Authorization - Concur
  • Travel Expense - UA Financials
  • Reimbursements- UA Financials
  • Cayuse System Data

Other Duties as Assigned:

  • Listserv submitted request assignment
  • Business office calendar maintenance
  • Misc. Operations Team tasks as needed
  • Misc. HR Support tasks as needed

Knowledge, Skills, and Abilities:

  • General understanding of all Microsoft office suite products.
  • Ability to work in a fast paced environment assisting multiple positions within the office.
Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
Preferred Qualifications
  • Experience with Cayuse Accounting and Beebole timekeeping software is strongly preferred.

Notice of Availability of the Annual Security and Fire Safety Report In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
