POSITION SUMMARY

Working within the Zoetis Maintenance Organization environment, the Contract Administrative Coordinator is responsible for assisting with the coordination and monitoring of the work activities of external contractors conducting work on GMS Kalamazoo sites.

RESPONSIBILITIES

* Receives, onboards, and schedules badge and safe work permit training for incoming external contractors. Performs safe work permit training for contractors as needed.

* Reviews and signs safe work permits as needed for work being performed on site.
Maintains training records and schedules annual refresher trainings for badged external contractors.

* Develops scope of work based on requests from internal and external resources.

* Creates and tracks work orders for contractor related activities. Coordinate the necessary external and/or internal resources necessary to complete the required work.

* Creates and tracks purchase orders for indirect services as needed using SAP and Ariba.

* Tracks the status of jobs associated with contract resources. Performs walk downs with contractors to verify job has been completed per agreed upon scope of work.

* Manage fleet service activities for site vehicles and forklifts.

* Assists with monthly financial accrual process for contractor related expenses/POs.

* Uses software such as Excel, Workday, Word, Teams, Outlook in the daily performance of job related duties.

* Performs other duties as required.

* SHIFT HOURS: 7:00am-3:30pm Overtime may be occasionally required.

EDUCATION AND EXPERIENCE

* High school diploma, Associate Degree (preferred) and/or comprehensive 3+ years related experience

* Solid understanding of GMP manufacturing processes, equipment, and facilities. Project or knowledge of construction activities a plus.

* Experience with computerized maintenance management software systems. SAP experience is a plus.

* Familiar with basic financial terms and practices. Ariba experience is a plus.

* Good communication and organizational skills as well as the ability to interact with all levels of the Zoetis organization. Can articulate issues and solutions to the team. Can produce effective project reports and presentations.

* Position requires daily or frequent interaction with Engineering Director, Maintenance Manager, Production Management and Supervision, Engineers, Quality Operations, Maintenance Technicians, Production Operators, Contractors, and Vendors.

* Can analyze problems and provide support in determining appropriate corrective and preventative actions, with minimal assistance.

* Capable of simultaneously managing multiple assignments. Prioritizes own work. Flexible and responsive to changes.

* Self-motivated learner with the ability to learn new skills.

Physical and Time requirements:

* Job duties involve occasional lifting of 20-60 lbs.

* Flexible hours and overtime may be required.

* Work Environment: Duties will include working in a manufacturing and Lab environment where eye protection and other personal protective equipment are required.

* Candidate must not be Cephalosporin/Penicillin sensitive.
