JOB SUMMARY

The Secretary reports to the Program Director and is responsible for general secretarial and bookkeeping duties.

ESSENTIAL JOB RESPONSIBILITIES



  1. Answer all incoming telephone calls in professional and courteous manner.
  2. Interface with clients and parents and directing to appointments upon arrival to clinic.
  3. Employees shall follow the reporting requirements for incidents of Child Abuse, Elder Abuse, Adult Abuse, Dependent Adult Abuse, and Tarasoff warnings per California reporting laws.
  4. Abide by Health Insurance Portability and Accountability (HIPAA) standards to protect sensitive patient health information.
  5. Contact the parents of consumers and/or consumers to confirm, cancel or reschedule appointments.
  6. Navigate and document client-related information in electronic health record, including incoming calls, in accordance with Tulare County policy and procedure.
  7. Receive correspondence and distribute to staff.
  8. Obtain and verify health insurance information of consumers.
  9. Perform general office duties, including using equipment to print, scan and fax sensitive information.
  10. Will drive on Agency business.
  11. Physical presence at the program is required.


ESSENTIAL JOB REQUIREMENTS



  1. High school diploma or GED.
  2. Two (2) years previous successful secretarial or office work experience.
  3. Two (2) years of junior college with Business Administration/Secretarial major or completion of secretarial course in accredited business school preferred.
  4. Communicate effectively in written and spoken English.
  5. Ability to operate within Electronic Health Records (EHR) system.
  6. Intermediate computer skills in, Office 365, Teams, Zoom and other communication/meeting platforms.
  7. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  8. Ability to pass a criminal background check.
  9. Ability to pass a pre-employment drug screen and TB test.


ESSENTIAL JOB REQUIREMENTS FOR BILINGUAL SKILL



  1. Communicate effectively in written and spoken Spanish.
  2. Required ability to communicate effectively with monolingual Spanish speaking clients and families for all clinical purposes.
  3. Assist with phone calls for Spanish clients.
  4. Required to provide language translations for case managers and Physicians on a periodic basis.
  5. Other translation tasks as required.

    • Monolingual: Class 103 ($21.26/hour)
    • Bilingual: Class 108 ($21.48 - $22.34/hour)
