Overview

To provide internal business and member support through document processing procedures, including mail sorting, mail security inspections, prioritized mail distribution, document imaging, document retention, electronic document filing, routing, and check and statement copy request fulfillment in compliance with the Bank Security Act, Document Retention Regulations, Service Level Agreements, and Navy Federal Guidelines. Works with close supervision and under clearly defined procedures and preforms tasks at an entry level.

Responsibilities

  • Sort, prioritize, and organize incoming mail and packages by recipient or department.
  • Inspect incoming mail for suspicious packages following federal and organizational guidelines.
  • Maintain accurate records of mail and remittances for daily reporting.
  • Distribute items promptly to appropriate recipients.
  • Review, separate, prepare, and image checks, vouchers, and legal documents.
  • Execute daily distribution tasks with high accuracy.
  • Research member accounts to confirm document accuracy and destination.
  • Research, distribute and process exception items from image repositories.
  • Utilize internal and vendor systems and databases to distribute imaged documents to members and customers.
  • Adhere to service level agreements for document distribution and/or destruction.
  • Interpret handwritten correspondence for scanning and routing.
  • Review back-end business unit documents for quality control.
  • Conduct collections of back-office remittances and documents for distribution, preparation and scanning.
  • Prepare documentation for monthly status reports.
  • Ensure compliance with record retention compliance and other regulatory requirements.
  • Collaborate with business partners to enhance processes.
  • Review and request inventory of distribution supplies.
  • Support team members with mail delivery and document printing tasks.
  • Identify improvement areas and implement solutions for operations.
  • Stay updated on compliance with applicable laws and regulations related to mail handling.
  • Ensure confidentiality, safeguarding and proper disposal of records.
  • Perform other duties as assigned.

Qualifications

  • Experience working well independently and in a team environment
  • Basic clerical and administrative skills
  • Effective verbal and written communication skills
  • Basic research, analytical and problem-solving skills
  • Basic organizational, planning and time management skills
  • Basic skill maintaining accuracy with attention to detail and meeting deadlines
  • Basic database and software skills
  • Basic skill exercising initiative and using good judgement to make sound decisions
  • Must be able to lift/carry 20 lbs

Desired Qualifications

  • Working knowledge of document filing, mail handling, document retention and scanning operations
  • Working knowledge of Navy Federal products, services, programs, policies and procedures

Hours: Monday - Friday, 7:00AM - 3:30PM
