A Day in the Life

A typical day as an Administrative Assistant might include the following:

  • Greets and assists walk-in clients and visitors and provides a warm welcome to new hires.
  • Answers the telephone in a professional manner and directs callers to appropriate personnel or department.
  • Schedules appointments and reserves meeting rooms.
  • Sorts and distributes incoming mail; post & deliver outgoing mail.
  • Collaborates with local office management to plan and coordinate both on-site and off-site events (invitations, venues, caterers, food and beverages for business development meetings, recruiting, trainings or seminars, partner socials, etc.)
  • Creates or updates data using Excel spreadsheets, Word, and PowerPoint; creates and completes mail merges as requested.
  • Provides meter readings to copier services companies.
  • Assemble final versions of tax returns for, individuals, partnerships, corporations, private foundations and other entities. Deliver electronically or via mail.
  • Electronically update and monitor the status of tax returns and other projects according to Firm guidelines.
  • Compose and type routine correspondence including orders, memos, letters and reports.
  • Maintains a positive influence within the team and office environment.
  • Ensures regular and predictable in-office attendance.
  • Collaborates with the administrative team to meet deadlines and provide backup support.Willingly takes on new challenges and supports special projects as needed.
  • Assists others with office tasks (faxing, scanning, copying) and other administrative responsibilities as required.
  • Demonstrates strong multitasking abilities and the capacity to meet deadlines.

  • You have a high school diploma and are willing to work overtime as needed.
  • You thrive in a high-volume, fast-paced work environment. You are highly organized and adept at prioritizing work.
  • You are a multi-tasking master, and there has never been a deadline you could not meet.
  • You hold yourself to the highest professional standards and maintain strict client confidentiality.
  • You pay strong attention to detail and consistently achieve a high rate of accuracy.
  • You have strong written and verbal communication skills, including proficient business writing skills.
  • You are open to new challenges and assist with special projects as requested.
  • You love collaborating and being part of a team but also enjoy working alone with limited supervision.
  • You embrace technology and can demonstrate you have the skills to use computer-based technology to complete different tasks.
  • You are proficient in:
    • Microsoft Excel: including the ability to create spreadsheets, perform data entry, use basic formulas, format worksheets.
    • Microsoft Word: including formatting, creating tables, headers & footers, and utilizing mail merge functions.
    • DocuSign: including creating, sending, and tracking documents for e-signature.
    • Adobe Acrobat: including creating, editing, and commenting on PDFs.
    • Microsoft Outlook and Teams.
  • You have flexibility to work additional hours if needed during peak periods of the year.
  • This position requires prolonged standing and sitting, some bending, stooping, and stretching, and the ability to lift 20 lbs.

Must be authorized to work in the United States now or in the future without visa sponsorship.

Compensation

$21-$26 per hour.

Our compensation philosophy emphasizes competitive and equitable pay. Eide Bailly complies with all local/state regulations regarding displaying ranges. Final compensation decisions are dependent upon factors such as geography, experience, education, skills, and internal equity.
