Summary
Manages the grant-related activity of an assigned portfolio of research departments. Provides guidance, resolves issues, and helps navigate the research proposal submission and application process. Responsible for budget development assistance, interpretation of sponsor requirements, as well as ensuring that proposals meet sponsor and institutional guidelines and regulations. May be eligible for institutional signature authority to sign on behalf of enterprise institutions.

Essential Functions
-Processes and prepares research grant proposals, awards, and transactions, maintaining grant/contract records in compliance with institutional and research sponsors.

-Prepares budgets, justifications, and materials for financial reporting.

-Reviews proposals for compliance with sponsor and organizational guidelines; verify all sponsor requirements are met.

-Monitors expenditures and assures budgetary compliance; verifies, identifies, and evaluates excessive charges; and advises on allowability of costs to be charged to grant.

-Eligible for Institutional Signing Authority, which is subject to manager discretion and delegation.

-Uses organizational research financial management applications to manage workflow and develop queries and reports.

-Assist manager in the review of Grant Administrator 1 work and quality control review of data.

Sponsored Programs Administrator: Community Health and Health Equity Grants

Receiving general guidance from the administrative leader of Research in the MGH Department of Medicine Division of General Internal Medicine (DGIM), the Sponsored Programs Administrator provides day-to-day programmatic, administrative and fiscal support for multiple community health (CH) grants and programs based in the MGH Community Health Centers (CHCs). The Administrator works with program directors and staff to provide programmatic administrative leadership and support, develop and prepare new grant applications, establish new contracts and funds, provide post award monitoring of funds, tracking of budgetary performance, and submission of required reports for designated grants and contracts. The position works closely with the program managers and staff and serves as a liaison to both external sponsors and MGB Research Management.

Education
Bachelor's Degree required (Finance, Accounting, Business Management, Public / Healthcare Administration, or related field)

Licenses and Credentials

Experience
Minimum of 3-5 years experience managing and/or working with clinical operations teams preferred; minimum of 3-5 years grants administration experience preferred, including budgeting and fiscal reporting.

Knowledge, Skills and Abilities

  • Excellent attention to detail, good organization and coordination skills.

  • Excellent verbal and written communication, interpersonal and problem-solving skills.

  • Proficient in spreadsheet, accounting and other computer applications; ability to learn additional systems as needed.

  • Working knowledge of financial processes, accounting principles, and grants administration practices.

  • Ability to work independently and manage competing priorities.

  • Ability to work effectively with all levels of leadership, staff, funders, and contractors.

  • Awareness of and interest in healthcare, public health, social services, etc.



Additional Job Details

This hybrid position requires 1-2 days per week in office co-located with DGIM administration and occasional visits to Community Health Centers as needed.

Responsibilities include

Program Management

Partners with health center medical directors, administrative directors, and unit clinical operations leaders and staff to ensure sponsored programs are fully integrated into clinical operations of the health center clinics and providing services as contracted to ensure compliance with sponsors requirements; create and maintain systems, as needed, to ensure smooth operations and reporting of the programs

Fiscal Management

Monitors all CH grant budgets throughout their funding cycles, including tracking of transactions, expenditures, and revenues using general ledgers, accounting software, and monthly fiscal reports for divisional and program directors. Serves as a point of contact on purchase requests, advising on product selection to ensure compliance with institutional and sponsor guidelines. Work with salary managers at HCs to ensure that grant-funded personnel effort and salary is allocated appropriately and promptly.

Revenue

Responsibilities include preparation and submission of invoices to various sponsors utilizing designated systems, tracking payments, and troubleshooting outstanding receivables.

Award Management

Manages all phases of program grant and contract administration. Prepares progress reports (fiscal and programmatic), approval requests and other required grant reporting, working with MGB Research Management and other internal teams as required. Maintains internal monitoring and reporting systems and meets regularly with PDs to review program costs and projections.

Grant Applications

In collaboration with the DGIM pre-award team, assists in the preparation of grant application/ continuation submissions including budgets, sponsor-required proposal documents, internal forms and approvals, and systems requirements.

Additional responsibilities and duties as required to support and maintain the community health sponsored funding portfolio.
