Basic Function
Under limited direction, provides administrative support to the Vice President for People & Culture and Chief Human Resources Officer. Responsibilities include project management, supports program planning and development, performs a variety of professional and administrative duties that facilitate the day-to-day operations of the Office of Human Resources. interprets, monitors and analyzes information regarding operating policies and procedures; administers budgets and proactively resolves problems that have a significant impact on the overall goals of the department.
Essential Job Functions

  • Communicate on behalf of the Vice President, both internally and externally. Serves as liaison with campus leadership and other administrative staff to ensure HR delivers the needs of the campus.
  • Prepare all Board presentations as requested by Vice President and attend meetings as requested.
  • Handle highly confidential information and maintain confidential files. Maintain calendar and coordinate travel plans and reconciliation of purchasing card for the Vice President.
  • Maintain all files (including historical records) for the Office of Human Resources. Serves as office manager responsible for administrative operations of the HR office. Assist with oversight to invoices and maintenance of budget for the Office of Human Resources.
  • Track projects across the department, maintain and update project plans. Follow up with team members to keep projects on track and within or under defined timelines.
  • Meeting management including preparing agendas, presentations, reports, taking notes, distributing action items and arranging meetings and materials. Assist in administration of department policies/programs, proof and edit department announcements.
  • Maintain and submit payments for departmental memberships. Coordinates professional development sessions for the Office of Human Resources staff. Supports event planning and coordination, including setup for Human Resources led events across campus.
  • Email management, prioritizing and assigning emails to team members for completion and follow up as needed.
  • Perform other duties as assigned.

Minimum Qualifications
Bachelor's Level Degree or equivalent combination of education and experience.
5 years of executive level administrative support experience.
Preferred Qualifications
Experience as an executive assistant in a Human Resources Office or in higher education . Experience with the Google Workspace suite to include documents, spreadsheets, and slides/presentations.
