The GME Operations Specialist is responsible for supporting the operational, financial, and programmatic functions of the institution's Graduate Medical Education (GME) programs. This role serves as a key resource for program compliance, financial oversight, and operational efficiency while collaborating with GME leadership, program coordinators, and institutional stakeholders. The Specialist plays an integral role in maintaining the quality and success of GME programs and ensuring alignment with institutional goals.
- Operational Oversight:
- Ensure compliance with accreditation standards, institutional policies, and regulatory requirements for residency and fellowship programs.
- Oversee residency management software (e.g., New Innovations), ensuring proper functionality and providing training to users across programs.
- Coordinate onboarding and offboarding processes for GME trainees, including IT system access, documentation completion, payroll setup, and Workday terminations.
- Support GME events, such as orientation, graduation, and GME meetings, and Program Director and Coordinator meetings, events and workshops.
- Financial Support:
- Assist in developing and monitoring the GME Office's annual budget, tracking expenses, and preparing financial reports for leadership.
- Administer payroll and benefits for GME trainees, including implementing raises and reconciling departmental funding allocations.
- Collaborate with GME leadership on cost reporting and financial analysis to support program growth and compliance.
- Program Development & Coordination:
- Facilitate monthly meetings with residency and fellowship coordinators to share updates, provide training, and discuss procedural improvements.
- Collaborate with stakeholders to support program expansion, diversity, and alignment with institutional priorities.
- Act as a liaison between the GME Office and the Program Coordinators Council to address operational needs and challenges.
Position Compensation Range: $63,939.20 - $102,294.40 Annual
MINIMUM REQUIREMENTS
Education: Bachelor's degree required Master's degree (Master's in Healthcare Administration or Business Administration) preferred. Experience: 5+ years of experience in GME administration, healthcare operations, or a related field. Experience with financial management, budgeting, or payroll systems preferred. Familiarity with accreditation processes and residency management software is highly desirable. Licensure: None required. Skills: Strong analytical skills, with proficiency in Microsoft Office and advanced Excel skills. Excellent organizational skills and attention to detail, with the ability to manage multiple priorities effectively. Exceptional written and oral communication skills, with the ability to work collaboratively across diverse teams. High degree of professionalism, discretion, and ability to handle sensitive information. PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
