Reporting to the Manager of People Operations, the Bilingual HR Operations Associate will ensure a seamless and smooth onboarding journey for our new hire Service Valets. This position will be focused on scheduling virtual training sessions for new hires, offering bilingual support in both English and Spanish throughout these sessions, validating the successful completion of the training modules, and acting as the connection point between our new hires and field managers. This role will actively participate in all virtual training sessions and help our new hires through live chat support. As a member of the HR Operations team, this individual will also help provide administrative support for a variety of human resource functions ensuring a positive experience for all associates.

Hourly Range: $19.00 - $21.00

Schedule: Sunday-Thursday 11am-730pm EST or 11am EST - 8pm EST

Work environment: Primary work from home

Responsibilities:

Virtual Onboarding Support:

  • Schedule virtual onboarding sessions for new hires, ensuring optimal timing and resource allocation
  • Act as a bilingual English / Spanish point of contact during virtual onboarding sessions to assist new hires with questions via live chat
  • Monitor and verify successful completion of virtual onboarding sessions
  • Process pay file for associates who attended the virtual onboarding course
  • Collaborate closely with field managers to schedule and coordinate first-day in-person orientation for the new hire
  • Maintain ongoing communication and engagement with new hires, especially in situations where immediate job openings are unavailable
  • Collaborate with the Learning team to ensure seamless online training experiences
  • Share feedback and insights on training effectiveness to align training and onboarding efforts with company goals

HR Operations Support:

  • Responds to associate inquiries through the company's case management system, finding the root cause of associate questions and striving to provide solutions quickly
  • Answers associate phone calls and responds to voicemails left for Human Resources
  • Assists associates and managers with understanding company policies and procedures
  • Processes people-related transactions in the human resources information system (Workday), including new hires, terminations, transfers, job changes, etc.
  • Verifies I-9 documentation and ensures accurate and current information
  • Documents and maintains process procedures and self-service resources for the HR team and associates

General:

  • Ad-hoc report creation and data analysis using Microsoft Excel
  • Ensures compliance with all appropriate federal, state, and local laws and regulations
  • Proactively makes recommendations and identifies opportunities for process improvement and efficiency
  • Maintains confidential personnel files and personnel actions
  • Perform other duties as assigned

Qualifications:

  • Bilingual Spanish/English required
  • High school diploma or equivalent experience required
  • 1-2 years of related experience with HR experience preferred
  • Workday experience preferred
  • Proficiency in MS Word, Outlook, Excel & PowerPoint
  • Fluency in both English and Spanish, with excellent written and verbal communication skills in both languages
  • Exceptional customer service skills to ensure a positive experience for new hires and associates seeking HR support
  • Strong interpersonal and communication skills, with the ability to effectively convey information, facilitate discussions, and assist new hires in both English and Spanish
  • A keen eye for detail and excellent organizational skills to manage training schedules, coordinate events, and maintain accurate records
  • A strong sense of responsibility to consistently represent the company's brand, values, and mission positively in all interactions
  • Proficiency in identifying and resolving issues that may arise during training sessions or onboarding processes
  • Flexibility to adapt to changing priorities and the evolving needs of new hires and the HR team
  • Openness to receiving feedback and making continuous improvements in the spirit of being better tomorrow than we are today
  • Collaboration and teamwork skills to work closely with HR colleagues, field managers, and training instructors to deliver effective onboarding experiences
  • Thorough understanding of HR laws, regulations, and best practices, especially those related to onboarding, training, and compliance

The final compensation offered will be determined based on various factors, including the candidate's location, level of experience, and skill set. As such, it may fall outside the range listed above.
