Administrative Assistant II

University Advancement is seeking a proactive and detail-oriented Administrative Assistant II to join the Strategic Initiatives team based in the Downtown Los Angeles Development Office. Reporting to the Associate Vice President for Strategic Initiatives, this role provides critical administrative and logistical support to a team of development professionals driving philanthropic impact across the university.

The ideal candidate is a collaborative team player with strong organizational and communication skills, capable of managing multiple priorities with professionalism and discretion. This position plays a key role in maintaining smooth daily operations and supporting the team's strategic and engagement efforts.

This is a hybrid position under our current work arrangement plan, with the expectation of an on-site presence in our downtown Los Angeles office (USC Tower).

Responsibilities

  • Provide direct administrative support to frontline fundraisers, including calendar coordination for donor meetings, internal planning sessions, and external engagement events.

  • Manage administrative duties including travel arrangements, expense reimbursements, purchasing, office maintenance, and vendor coordination.

  • Prepare and organize materials for donor visits, such as briefing memos, bios, proposals, gift documentation, and follow-up correspondence.

  • Assist fundraisers in managing their donor portfolios by entering and tracking contact reports, proposals, and engagement activity in the university's donor database.

  • Support the planning and execution of fundraising events and experiences, including guest list tracking, invitations, and on-site logistics.

  • Serve as a liaison between fundraisers and campus partners, donors, and other internal departments to facilitate communication and drive results.

  • Provide excellent service to internal and external stakeholders, resolving inquiries and ensuring a positive, solutions-oriented experience.

  • Perform other related duties as assigned or requested. The University reserves the right to add or change duties at any time.

Minimum Qualifications

  • Bachelor's degree

  • Combined experience/education as substitute for minimum education

  • 3 years' executive assistant or administrative assistant experience supporting multiple people

  • Keen organizational skills and strong attention to detail

  • Proven ability to review documents for accuracy and completeness

  • Effective at managing multiple and overlapping tasks while meeting established deadlines

  • Strong communication and interpersonal skills, with the ability to interact regularly with interdepartmental staff, faculty, and external collaborators

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe, and internet research tools

Preferred Qualifications

  • 3 - 5 years' executive assistant or administrative assistant experience supporting multiple people

Compensation and Benefits

The budgeted hourly range for this position is $25.73 - $30.77. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer alignment, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
