Job Description:

The Maintenance Coordinator will be part of the Maintenance and Facilities Team, reporting to the Senior Director of Facilities Maintenance. In this role, you will be responsible for monitoring and following up on maintenance and repair issues at our retail locations. They are responsible for coordinating vendors to ensure repairs get completed while being a liaison between the maintenance department and store operations. Responsibilities include:

  • Vendor coordination.

  • Regular communication with store operations.

  • Interaction with computerized maintenance management system (CMMS) to ensure Global KPIs get met and stores remain operational.

"Gauges" of Responsibility

  • Responsible for the day-to-day maintenance activities for the assigned region

  • Ensure that all proactive and reactive maintenance service requests get completed promptly and to a high standard.

  • Review and approve quotes for areas of responsibility using the CMMS (Vixxo/Service Channel) system

  • Review and approve invoices for areas of responsibility through Global's internal AP process

  • Managing paperwork and approval process for all projects

  • Act as liaison between retail/fuel operations and CMMS and contractors

  • Work closely with maintenance personnel to execute the organization's maintenance program.

  • Communicate directly with CMMS, service providers, vendors, and maintenance contractors to schedule repairs, servicing, preventive maintenance, and other projects required to keep the company's physical assets running smoothly. Identify duplicate service requests.

  • Coordinate, log, and follow through with repairs from Compliance testing, 30/120-day walkthrough inspections, and AVA flow / stopped nozzle report.

  • Gather missing documentation for the 30-120-day walk-throughs-permits, compliance testing results, Fire inspections, tank charts, etc.

  • Find ways to improve upon current working practices and implement change where necessary.

  • Contribute to the overall success of maintenance Services by performing other essential duties and responsibilities as assigned.

  • Work with regional internal environmental inspectors to ensure sites are ready for local, state, or federal inspections.

  • Assist the Environmental Department with spills.

  • Communicate with haulers, coordinating drops stemming from maintenance repairs.

  • Assist with 3rd party incidents/claims.

  • Investigate inventory issues with retail accounting when sites experience product losses.

Qualifications

  • Bachelor's degree preferred or 3+ Years of industry experience

  • Experience with Oracle, Microsoft Office, and Smartsheet

  • Preferred 6+ Years of experience

  • Convenience Store Fuel experience is a plus

  • Ability to communicate and collaborate with internal and external team members and vendors

  • Be available on call as needed.
