Supports the Director of Purchasing and Purchasing team in the daily operations of the office. This position plays a vital role in assisting campus departments with procuring goods and services in compliance with University policies and state procurement codes, while maintaining vendor relationships and accurate purchasing records. Standard work hours are Monday through Friday, 8:00 AM to 5:00 PM. Responsibilities
-
- Review requisitions, create purchase orders and process invoices for all University departments.
- Communicate and coordinate with vendors to procure goods and services; monitor order status and follow up on issues or delays.
- Assist with the University's Purchasing Card (PCard) program, including issuing and maintaining cardholder accounts and supporting departments in reconciliation processes.
- Maintain accurate and up-to-date vendor information in the University's finance system.
- Create and manage online vendor accounts for departmental use.
- Ensure compliance with University purchasing and PCard policies and state procurement regulations.
- Assist departments and staff with purchasing procedures and inquiries.
- Track and maintain records of purchases, contracts, and procurement correspondence for audit purposes.
- Support contract management processes and documentation.
- Provide administrative support to the Director of Purchasing and assist other Business Services areas as needed.
- Perform other duties as assigned.

Qualifications
-
- Associate's degree or vocational/technical school degree required. A combination of college coursework and experience will also be considered.
- At least one (1) year related experience required; experience working in high-volume purchasing or in a higher education business environment preferred.
- Experience with purchasing policies and procedures in a public agency preferred.
- Proficiency in Microsoft Office, Google Drive, and Adobe Acrobat DC required. Ellucian Banner Finance experience preferred.
- Knowledge of general office practices and procedures.
- Knowledge of English grammar, punctuation, and correspondence forms.
- Ability to communicate effectively and exercise basic human relations skills in establishing and maintaining effective working relations with the University community.

POSITION DETAILS, COMPENSATION AND BENEFITS:Full-time non-exempt staff (overtime-eligible) position. Annual salary of $38,000-$40,000 depending on qualifications and experience. Desired start date of July/August 2025.
