Understanding that people are the foundation for success, the City of Irvine seeks a professional with a passion for providing high quality services to join the Human Resources department as a Program Assistant (C) - EPT.
This person will play a pivotal role in supporting the Human Resources team by providing confidential administrative support and departmental assistance with exceptional attention to detail for our recruitment team. If you possess strong organizational abilities and are skilled in administrative functions such as front desk support and data processing, the Program Assistant (C) - EPT position is an excellent opportunity for you.

Your Impact
  • Coordinate and manage Human Resources administrative functions, prioritizing tasks and projects to support the Human Resources team's daily operations including recruitments, background checks, and onboarding processes.
  • Enter and review a high volume of data in complex systems while appropriately applying policies and procedures.
  • Respond to routine letters, E-mail, general correspondence, and requests for information from the public.
  • Act as a backup to the Human Resources receptionist, maintaining a professional and welcoming environment for employees and visitors.
  • Provide assistance and information to employees and external parties regarding Human Resources programs, policies, and procedures, demonstrating a commitment to excellent customer service.
  • Conduct research, compile, and analyze Human Resources data for assigned special projects and reports. Prepare and present findings to support Human Resources decision-making processes.
  • Create complex Human Resources reports from information in databases. Demonstrate proficiency in Human Resources Information Systems (HRIS) and other relevant Human Resources software applications.

Minimum Qualifications
  • Junior/community college coursework in Human Resources, business, office practices or related field.
  • Four years of increasingly responsible administrative support experience or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
  • May require a valid California driver's license.

  • Strong data entry skills and proficiency in Microsoft Word, Outlook, and Excel.
  • Ability to handle sensitive information with the highest level of confidentiality.
  • Strong working knowledge of state and federal laws related to Human Resources functions.
  • Experience utilizing NEOGOV or similar Applicant Tracking System (ATS) to support recruitment is strongly preferred.
