Scope of Position



  • The Service Extension Center Coordinator is responsible for the successful management of all business-related matters pertaining to finance, fundraising, personnel, property, and office procedures for The Salvation Army in Klamath Falls.
  • This position is responsible for organizing and directing all activities related to clients and directing services to clients.


Qualifications



  • High school diploma or G.E.D.
  • Two years' office management experience with two years' social services experience in direct services to clients, and two years' supervisory experience. Knowledge of the social service agencies and the services provided in Oregon is preferable. Fundraising experience.
  • College Diploma is preferred.


Knowledge, Skills, Abilities, Required



  • Be sensitive when handling delicate social service phone calls and handle appropriately.
  • Excellent telephone skills.
  • Detail oriented and attention to detail.
  • Self-starter and able to work as a team or on your own.
  • Team player.
  • Strong use of the English language in verbal and written communication (Spelling - 90% Grammar - 85%).
  • Customer service mindset.
  • General accounting or bookkeeping knowledge.
  • Strong analytical and research skills.
  • Proficient typing skills (50 words per minute).
  • Must have a valid driver's license and good driving record.


Software Related Skills



  • Have a working knowledge of all Microsoft Office programs including Word, Excel, Publisher, Access and PowerPoint, required.
  • Have a working knowledge of a CISCO telephone, computer equipment including email, scanner and copy machine, audiovisual equipment and a 10 key calculator, required.
  • Basic knowledge of Outlook is helpful.


Essential Duties and Responsibilities

Human Resources



  • Responsible for personnel matters for The Salvation Army in Klamath Falls. This work is done in conjunction and consultation with the Service Extension Director.
  • Ensure compliance with Salvation Army Policies and Procedures and with all federal/state laws related to employment practices.
  • Provide oversight of the retention schedule of all personnel files for all Salvation Army employees.
  • Make personnel recommendations and proposals to the Service Extension Director for processing at Divisional Headquarters.


Development



  • Plan, coordinate, supervise, and evaluate all fund-raising efforts and activities to reach fundraising goals.
  • Responsible for donor development, relations, and contact.
  • Public Relations: Oversight of informing media of any Salvation Army related events.
  • Able to speak on behalf of The Salvation Army, telling its story and local needs through presentations to agencies, churches, and other organizations as needed.
  • Work with the Divisional Grant writer in preparing and delivery of grants.
  • Be the point of contact and represent The Salvation Army in public relations and community events.
  • Plan, develop, and successfully coordinate workshops, meetings and special events that may include but are not limited to backpack project, Community Care, Thanksgiving, Christmas, Campership, and any associated financing that includes transportation and medical checks.


Finance



  • Maintaining direct financial management of the programs, deposits, and accounts payable at The Salvation Army Klamath Falls.
  • Make financial recommendations and proposals to the Service Extension Director for DHQ.
  • Email all vouchers and invoices to the Service Extension Administrative Assistant for processing.
  • File original invoices appropriately.
  • Provide an annual budget for the unit.
  • Examine cash flow to ensure adherence to policy and unit budgets.


Social Services



  • Will oversee the Social Services program at The Salvation Army Klamath Falls.
  • Will assess community needs and provide hands-on case management and assistance to the impoverished and homeless population in the community.
  • Maintain social service client records according to Salvation Army policy and adhere to file retention policies.
  • Prepare and submit monthly statistical records pertaining to financial assistance/gift-in-kind, number or persons assisted/services rendered, and number of volunteer/hours provided.
  • Participate in other fundraising and community awareness programs and activities to secure donations for distribution to clients participating in our programs.
  • Compile and enter departmental monthly statistics in statistical database by given deadline.


Summer Camp



  • Monitor camp application documents and status of campers from Klamath Falls using camper Software.
  • Check all applications for completeness before the camp starts.
  • Enter each camper's information in the Camper Software Database.
  • Maintain contact throughout the year with the families to ensure continued participation.


Back to School Project



  • Prepare an event budget to share with the Service Extension Director.
  • Obtain donors to purchase supplies needed for recipients.
  • Engage and manage fundraising opportunities for the Back to School Project.


Christmas



  • Responsible for planning, directing, and overseeing the Christmas Kettle fundraising season for The Salvation Army Klamath Falls.
  • Contact local businesses to ensure Kettle locations meet with approval and all insurance requirements are considered.
  • Responsible for planning, directing, and overseeing the Christmas Angel Tree fundraising season for The Salvation Army Klamath Falls.
  • Contact local businesses to ensure Angel Tree locations meet with approval and all insurance requirements are considered.
  • Responsible for meeting all fundraising goals (i.e. Angel Tree and Christmas Kettles) per goal and outlined in the budget.
  • Point of contact for merchants, vendors, and donors who are participating in any aspect of the Christmas season with The Salvation Army in Klamath Falls.
  • Responsible for the setting up of their units Angel Tree Campaign and the coordination of registering children for gifts.
  • Ensure all kettle income deposit sheets are sent to the Service Extension Administrative Assistant.
  • Responsible for the hiring and overseeing of seasonal employees during the kettle season.
