Administrative Manager - Information Technology & Systems Division

Overview:

In accordance with IDA practice and procedure, this position is responsible for the overall administration of the Division and the day-to-day supervision of the Division support and editorial staff. Responsibilities cover a wide range of activities in support of the Division's objectives, including acquisition of division office equipment and required services, representing the Division at designated functions or on committees, and providing assistance to Division management as needed.

Responsibilities:

Directly supervises the full-time administrative support staff; is accountable for maintaining the quality, efficiency and morale of the staff.

  • Attracts, develops, assesses and retains Division administrative support staff; provides daily advice and counsel to staff covering a wide range of issues to include work assignments, policies, procedures, standards, training, and conflict resolution.
  • Interfaces and coordinates with other IDA Administrative Managers to accommodate workload fluctuations.
  • Supervises/coordinates new employee hiring and on-boarding processes between IDA HR and Division research staff.
  • Requests security clearances for all new employees and monitors progress to completion. Submits justification for periodic reinvestigations.
  • Has primary administrative responsibility for ensuring compliance with corporate policy concerning areas such as consultants and subcontractor usage; office and computer related requirements, purchasing and related expenditure approvals.
  • Responsible for Division processing of Consultant Agreements and Subcontracts
  • Oversees computer office equipment and space requirements; acts as primary liaison for computer related planning and acquisition; directs Division personnel in determining related needs, expenditures, networking support and other related requirements.
  • Responsible for ensuring compliance with corporate administrative practices, including purchasing, security and personnel; liaisons with other divisions and IDA headquarters in administrative matters. Accountable for Division administrative expenditures to include the approval and reporting of staff travel, consultants and vendor invoices, purchase requisitions and timesheets.
  • Performs other relevant duties as assigned.

Qualifications:

  • Minimum of a BS/BA degree in related field such as business administration or other business-related discipline.
  • Six or more years of progressively responsible work experience in comparable environment, preferably government contracting, or equivalent combination of relevant experience and college coursework.
  • Proven organizational skills; ability to multi-task and work well under pressure, balancing competing priorities; excellent interpersonal abilities and communication skills.
  • Must also have supervisory/management experience.
  • Proven experience with Microsoft Office Products (Word, PowerPoint, Excel).
  • Supervisory/management experience strongly preferred.
  • U.S. Citizenship is required.
  • Ability to obtain and maintain a security clearance is required.
  • Successful completion of a criminal background check is required.

We support transparency, equity, and fairness in our compensation program and provide a reasonable estimate of the salary range based on data-driven market analysis for each position. While it is not typical for an individual to be hired at or near the top of the range, a reasonable estimate of the salary range for this role is $98,585-$157,735. Individual salary within this range will be commensurate with the incumbent's experience, unique skills and qualifications, and other relevant factors.
