Job Description:
Serves as a functional encoder/ curricular analyst to help simplify, scale and deliver \ accurate course and curricular requirements in Workday SIS and CollegeSource uAchieve degree audit system and academic planner.
Working as a member of the Registrar Team, partners closely with the Registrar's Office, Academic Advising, IT, Academic Affairs and other key stakeholders on campus. As a degree audit encoder, serves as the domain professional for all degree requirements, courses, academic planning, and degree processing, including advising key stakeholders on use of the Uachieve academic planner and degree audit system.
Works on process design and flows, improves processes and demonstrates the return on technological capabilities. Responsible for all curricular changes as approved through the University Curriculum Council (UCC). Oversees flow of information from Workday SIS to Uachieve planner and degree audit system.
Responsible for course and program maintenance and creation to include eligibility and condition rules in Workday SIS. Ensures data consistency between former on-premise instance of Uachieve and new (2025) cloud based Uachieve instance. Communicates degree progress status to students, advisors, Academic Deans and other administrators to facilitate student completion and overall graduation rates
JOB DUTIESTIME ESSENTIAL
- Serves as the functional systems/data analyst and domain expert to help simplify, scale and deliver course and curricular data from the current Colleague SIS system to Workday SIS. Also, serves to ensure consistency through current Uachieve environment (Colleague) with hosted environment (Workday). Deliver new Uachieve academic planner tool.
- Collaborates with campus partners to identify, recommend and implement system improvements and enhancements, including reporting, dashboards, integrations and configuration changes that will enable Workday and Uachieve to support Trinity's strategic and operational priorities, primarily graduation rates.
- Partners closely with the Registrar, IT, Academic Affairs and other key stakeholders to drive requirements gathering, process review, solution design, project management, testing, training and documentation of the Uachieve academic planner and degree audit systems.
- Develops a strong understanding of key operational processes and workflows including the key business drivers behind those processes that impact student graduation and advising.
- Provides advising support on issues triage, identification and resolution, bulk data uploads (EIBs), and degree tracking report requests to Academic Deans.
- Communicates with all graduating students, Academic Deans, and academic advisors regarding degree requirements and progress toward graduation. Effective communication and accuracy is required.
- Supports upgrades, enhancements, testing, validation and overall system performance; leads Uachieve product update process, including Self Service and Client interfaces with external testing provider, conducts regression testing and develops contingency planning for larger curricular efforts and overhauls.
- Generates and maintains a variety of reports, queries and dashboards using appropriate Workday and Uachieve tools. Assists with the creation of the Course of Study Bulletin.
- Enters dual, transfer, and credit by exam to student records as needed. Collaborates with Registrar to ensure student data accuracy. Assists with credit by exam updates and publications.

EXPERIENCE
Required:
One year of experience working in the Registrar's Office. Experience mapping processes from one system to another system. Hands-on experience in one or more Workday domains: Student Records, Advising, Financial Aid, Admissions. Uachieve encoding experience is required. Strong process analysis experience in business system processes.
Preferred:
Experience deploying and supporting Uachieve and degree planner implementation. Experience in higher education environment. Experience with a full development project. Process analysis experience in business system processes.

Required:
A superb collaborator and communicator, who can effectively translate business needs into technical and process solutions. Proven ability to manage software initiatives of varying sizes and complexity and work closely with business and end users. Knowledge of Registrar/Academic Records or related business processes.
